An Authorization in CentralReach directly reflects the services and their specific details approved for a student by their Individualized Education Program (IEP). Once a student's IEP is finalized, its contents are loaded into CentralReach via an Authorization. This crucial step enables the scheduling of student appointments and ensures they are accurately linked to the approved services as outlined in the IEP.
The primary purpose of properly inputting authorizations is to ensure accurate billing, maintain compliance with authorized service limits, and facilitate the proper tracking of a student's approved plan. This helps in managing service utilization and efficient billing.
The responsibility for inputting authorizations generally falls to roles with permissions to manage student intake and data, such as District Educational Specialists (DES) and designated District Staff.
Authorizations must be entered into CentralReach before services are scheduled and delivered to the student. They should be inputted as soon as the student's Individualized Education Program (IEP) services have been approved

ESY authorizations and scheduling is the process of creating and managing a separate set of service authorizations and corresponding appointments specifically for a student's Extended School Year (ESY). This workflow is distinct from the standard school-year authorization to prevent billing and compliance errors.
The purpose is to accurately track and bill for ESY services and ensure compliance with a student's IEP. Scheduling with the school-year authorization is not possible during ESY. Additionally, by separating ESY authorizations from regular school-year ones, the system can prevent:
Incorrectly billing for services provided outside the school-year timeframe.
Running out of approved service units for the regular school year due to ESY usage.
Scheduling appointments that are not covered by the correct authorization record.
This process is primarily handled by District Educational Specialists (DES) and other designated District Staff who manage authorizations and scheduling.
ESY authorizations and scheduling occur after a student's ESY services have been approved and before the Extended School Year sessions begin. This ensures that the system is properly configured to allow for the scheduling and billing of all services from the very first day of the extended school year.
