Frontline Absence Management – Automated Substitute System (How substitutes are assigned)

New Prague Area Schools utilizes the Frontline Absence Management Automated Substitute System (also referred to as Aesop) which provides the latest in web-based and telephone based technology. This system allows teachers to enter their absence in the system, and then subs can search for available assignments at any time. Absence Management will also call substitutes based on reference lists managed by the district if the absence gets down to the last minute and the assignment remains open. TIP: The system calls on a limited basis. Substitutes who are proactive in searching for assignments and placed on teacher preference lists will generally receive assignments more often.

The system contacts substitute teachers between 5:00am - 3:30pm and 4:30pm - 10:00pm only on the day before or the day of an assignment. If you do not wish to be called during those hours or want to change the hours to receive phone calls, you must log into your account to make those changes. Doing this helps the system know to move on to the next available substitute and keeps from penalizing you for not answering or accepting an assignment. It also prevents the system from calling you multiple times on a given morning when it knows in advance you are not available. If a building secretary has to get involved in the calling process and sees your name on the list, they assume you are available and may also try to contact you.

The building principal has the capability of placing substitute teachers on a “do not call” list for their building. Teachers are able to specify which substitute teachers they do not want called for their classrooms.


**IMPORTANT – PLEASE NOTE**

  • If you are called for an assignment over 4 hours in length, you are required to stay for the full day. If you cannot work for a full day, please DO NOT accept the assignment.
  • If you are called and reject a particular assignment, the system will wait 20 minutes before calling you for another assignment. If you miss a phone call or hang up on a call from Aesop, the system will wait 90 minutes before calling again.
  • If substitutes are unavailable to work on a particular day or period of time, they are asked to log into the Frontline Absence Management System and record Non-Work Days. This will prevent a teacher or administrator from trying to contact you when you are not available.
  • A substitute who becomes ill before an assignment should immediately call the substitute contact person at the building they were going to sub at. Please be sure to provide your name, teacher you were to sub for, grade level/assignment.
  • Please be on time. If you are running late please call the school office.
  • A substitute falling ill while at the school on an assignment must contact the building principal for permission to leave so that the safety of students can be ensured.
