Staff Portal Basics

Once logged in, you will have access to Staff Portal options at the top right of the page which include the ability to Logout, a Help link to access iClassPro's support page and a link to switch to the Main Staff Login (or full iClassPro application with limited mobile compatibility).

There are Filters at the top of the page for the date, a class/camp list which displays by default, and a search tool. All of these options will modify the list of classes and camps shown below for attendance.

Quick Attendance Indicator

A check mark icon appears next to classes to easily indicate whether or not attendance has been recorded for classes for a specific date. A green check mark indicates attendance has been recorded, while a light grey check mark indicates attendance has not been taken.

Viewing Class or Camp Details

To view class or camp details, such as room information, description, etc., you must select the class or camp from the list, then click on the "i" information icon next to the class or camp name above the attendance.

1. From the list of students, use the Present (check mark) or Absent (x icon) indicator at the top of the page to select attendance for all students, then modify individual student records as needed using the check mark and x icons.

2. After selecting Present for a student's attendance, you can click on the student's name to reveal options for Tardy and Left Early, which will highlight in green once selected. If the staff member has the permission to "Excuse Absences in Staff Portal" enabled, they will also be allowed to mark an absence Excused.

Viewing Past Class/Camp Attendance

To view class or camp attendance for a past date, simply use the date tool to navigate to that date from the initial attendance list, then select the class or camp you would like to view.

Viewing an Individual Student's Attendance Records

1. Filter the classes/camps by a date that the student was enrolled and attending class.

2. Click on the class or camp the student attended.

3. Click on the student's name in the list of students shown.

4. Click the dark blue Attendance Records section.

Viewing Student Details

Some important student information is called out with easy to see icons next to a student's name when taking attendance. We call those icons Student Indicators and they are used to indicate special information such as potential medical issues, nearby birthdays and more.

More detailed information such as contact info and emergency details can be found in the Staff Portal by viewing the student's Profile. This is accessed by clicking on the student's name, then clicking on the light blue student profile icon.

Entering a Student Note

1. Filter the classes/camps by a date that the student was enrolled and attending class.

2. Click on the class or camp the student attended.

3. Click on the student's name in the list of students shown.

4. Click the orange Notes section.

3. Note: To create and edit notes, a staff member must have the Full level of permissions set for Families/Students in his/her user group or advanced user permissions.

Taking a New Student Photo

Staff members can be given permission to take a student's photo and upload it directly to the iClassPro application through the Staff Portal. This can help coaches identify students for roll and learn names more easily.

To make sure this feature is enabled, go to Settings > Staff Portal > General Settings and check the option to Enable Student Images in Staff Portal.

Note: Any settings enabled in this section apply to all staff members with permission to access the Staff Portal.

Once enabled, staff members can follow these steps to upload a new student photo:

1. Filter the classes/camps by a date that the student was enrolled and attending class.

2. Click on the class or camp the student attended.

3. Click on the circle to the left of the student's name.
