How to issue Certificates for Current Students in Faculty of Engineering, Graduate School of Engineering, and Graduate School of Information Science and Technology

1. The Certificate Issuing Machines
1-1 Location
Two certificate issuing machines are located in the west entrance hall of the School of Engineering Building No. 8.
The Certificate Issuing Machines are also located at each department on the Hongo Campus, Komaba I Campus, and Kashiwa Campus (Refer to the map below). They all have the same functions and can issue the same types of certificates.

1-2 How To Use
Available only for current students in a regular program (Unavailable for research students and special auditors)
When logging in, please enter the ID (numbers only) and password that you use to log in to UTAS. The ID is the 10-digit number found on the lower right side of your student ID card.
You can skip entering your 10-digit ID number by holding your student ID card next to the screen of the issuing machine.
To prevent unauthorized login, you will not be able to log in if you enter the wrong login ID and password several times in a row. In that case, please come to the office of Student Support Team, Academic Affairs Group. We will check if your password is valid or not.

Academic Transcript (Junior/Senior Division)
Certificate of Program Completion (e.g., If you have continued your studies from Faculty of Engineering to Graduate School, you can apply for certificates for the program you have completed.)
Student Travel Discount Certificate for Japan Railways (JR)

Certificate of Expected Program Completion (※ Can be issued after the specified time in the academic year: See the next section)
1-4 The possible dates for the issuance of “Certificate of Expected Program Completion”
The possible dates for the issuance of “Certificate of Expected Program Completion”:
Bachelor's Program: After the 4th year’s first term begins
Master's Program: After the 2nd year’s first term begins
Doctoral Program: After being approved for a doctorate as a result of the dissertation review at the predetermined meeting
If you are a doctoral student and required to submit "Certificate of Expected Program Completion" for job hunting or other reasons, "Certificate of Enrollment" (with date of enrollment) may be substituted. Please confirm with the institution submitting the certificate.
1-5 Notes on using the Certificate Issuing Machines
If you are not a regular student, you can’t use the Certificate Issuing Machines.
Regular students can use the Certificate Issuing Machines even during a leave of absence.
Graduate students who continue to be enrolled in a Master’s or Doctoral Program can issue the certificates for the former program at the Faculty of Engineering, Graduate School of Engineering or Graduate School of Information Science and Technology.
2. In-Person Applications for Certificates
2-1 Requesting a certificate that cannot be obtained from the Certificate Issuing Machines
You may be required to submit a certificate that verifies special matters not described in the regular certificate that can be obtained from the Certificate Issuing Machine. In this case, please come to the reception counter of the Student Support Team. However, we may not be able to issue a certificate that fulfills your request due to university regulations or judgment by the Academic Affairs Department.
2-2 Requesting a special certificate/document with the stamp signature of the Dean and the university official seal
You may be required to submit a document with the stamp signature of Dean and the university official seal. If you need a certificate other than general certificates (which can be certified and issued by the Academic Affairs Group) with the stamp signature of Dean and the university official seal, please apply through your Department Office. In this case, direct application by students will not be accepted at the reception counter of Student Support Team.
3. Issuance of Certificates after Graduation/Completion
3-1 To apply for issuance of certificates after graduation/completion
Applications by postal mail
We accept applications by postal mail. Please check the guidelines below.
Graduate students who continue to be enrolled in a Master’s or Doctoral Program can issue the certificates for a former program at the Faculty of Engineering, Graduate School of Engineering, or Graduate School of Information Science and Technology.
Issuance on Graduation/Completion
At the time of graduation/completion, one of each Japanese certificate for graduation/completion will be provided by the department office. Additional certificate requests will also be accepted for those who need more copies. For more information, please wait to hear from your department office.
