(Procedure before Experiments)

Application procedures for the visit of FY2024 accepted proposals have been opened.
Please apply via NSL RING.

JRR-3 Safety training
The English version of “JRR-3 Safety training”, which all users are required to take once before the first experiment in the Japanese fiscal year, has been switched from Zoom-style to E-learning from May 20, 2024.
1. Procedures before experiment
All users are required the procedures from (1) to (5).
Principal investigators are also required the procedure (6).
Note: The document for international users "Visit Proposal" is no more required to be submitted, because it will be automatically issued by submitting your Visit Application via NSL RING.
(1) Letter of Acceptance
All of the principal investigators and research collaborators are required to submit a Letter of acceptance before their experiments.
This is a certification by the leader/head of the organization that the experimenter has agreed to the consent items regarding his/her participating in the experiment.
Please note that even if you do not come to JRR-3 for your experiment, you have to submit a Letter of acceptance to register your name as a research collaborator.
Please submit the original one with his/her signature to NSL user's office.
【Due date】Before or on the day of your visits for your first experiments
【How to submit】 1. Log into NSL RING and click “Application”
2. Select "Letter of acceptance"and create your data, and click “Send”
3. Print the file and have a leader of your affiliation sign on it.
4. Bring the original one with you when visiting or, mail to the following address.

(2) Photo Data and ID
They are used to identify you in registration as Radiation Worker and in issuance of entrance permit.

【How to submit】
Login to NSL RING and click “User Information”
Select “Submit ID”
Upload your official PEG files
【Notes】
Photo Data must be either JPEG. file or PDF file.
Only passport copy is acceptable for international users as a valid ID.
Student ID card is only acceptable for Undergraduate and Graduate students of Japanese universities.
(3) Radiation Worker Certificate
All users are required to submit the certification which being certified the registration as a radiation worker at your affiliation.
Based on this, the users will be registered as a radiation worker at JAEA.
The certification will be needed to submit every fiscal year.

【How to submit】
(4) Safety Training
All users are required to complete the JRR-3 Safety Training before your first visit once in the every Japanese fiscal year.
Please note that you are not allow to have an experiment without taking the training.
【How to take the training】E-Learning system via NSL RING
1. Log in to NSL RING and click “Personal”
2. Select “Safety training”
3. Click "To JRR-3 Safety training course"
4. Log in to E-learning system with the same user name and passward as NSL RING
【Due date 】 By the day of your visit
(5) Visit application
This is to apply for your request of travel expenses, an entry pass and accomodation reservation. This is requrired for the each visit.
【Due date】2 weeks before your visits
Note:International users including Japanese residing outside of Japan are required to submit Visit application 3 weeks before visits due to the necessary extra paper works for International visitors.

Select "Application for visits" from "Application"section. See NSL RING User's Manual for the details.
(6) Experiment Application
Principal Investigators (PI) need to register the name of your research collaborators, bring-in samples and Instrument for proposals.
【Due date】2 weeks before the first day of each Cycle. *See the FY2024 schedule below.
【How to apply for Experiment, bring-in samples and Instrument for proposals】
You will receive an email for the request of experiment application after the instrument leaders assigned your machine-time onto NSL RING. Then,
Log in to NSL RING and click "Application".
Select "Experiment application".
Confirm the information about your registration. Modify the infomation the research collaborators names , bring-in samples or devices if neccessary.

2. Travel Expenses (Domestic only)
※Please note that the travel expenses will not be supported to users residing outside of Japan. For domestic users, please refer to the below.
NSL will support allowances of travel expenses for domestic users having the experiments for your proposals. The term "travel expenses" here indicates a set of transportation fee, accommodation fee and daily allowance.
◆ Users who visit for General User Proposals
Please note that the subsidy for your travel expense will be limited to only two times total of domestic trips per a general user proposal.
This will be applied for any of the trips as two (2) time trips for one (1) person, one time trip for two (2) persons or 1 time plus 1 time trips for one (1) person or etc.
These rules will not be applied for users who visit for reserved proposals. Allowance of the travel expense will be based in the regulation of the University of Tokyo, however, the conditions for subsidy might be changed depending on the execution of our budget.
Users will receive subsidy for travel expense to log in NSL RING and apply for it entering all the information about your trip. For research collaborators, please verify whether your principal investigators will request the subsidy of travel expense.
◆Users who visit for IRT proposals
We have informed the project representative of this year's travel expenses allocation amount for each IRT proposal.
For your request of the support for IRT members' travels, please verify whether representatives of your proposal will request reimbursement of travel expenses. Afterwards, please apply to the request of payments for your trip at NSL RING entering all the necessary information.
★Bank Account registration
Please submit the bank account registration form when you request the payment for your travel.
*Submission will be also required even if more than 13 months have passed since the last submission or last travel expense payment.

Download the form.
Upload the file clicking "Submit" button after filling in the necessary items.
【Note】
International users also need to upload a photocopy of cover page and back side of cover page, which shows your katakana name, branch No. and maybe your address etc. to identify you.( If you do not have any bank account book, please submit an "account number notice" issued by your bank.)

◆Access to Tokai Village in Ibaraki
■ByTrain (JR Joban Line)
From Tokyo direction : Take JR Joban Express line either "Hitachi" or "Tokiwa" from any of three stations, Shinagawa, Tokyo or Ueno.
Get off at Tokai Station. (Approx. 100 mins. ride)
*Transfer to a local train at Mito or Katsuta Station if the express train doesn't stop at Tokai Station.
From Sendai direction : Take JR Jyoban Express line either "Hitachi" or"Tokiwa" from Sendai station.
Get off at f Tokai Station. (Approx. 3 hours)
*Transfer to a local train at Hitachi or Omika station if the express line doesn't stop at Tokai Station.
■By Bus
1.From JR Tokyo Station Yaesu exit to JAEA.

From Tokai Station at the east exit, take the bus headed for Ibaraki East Hospital (Hitachi Seaside-Park West Exit)/茨城東病院(海浜公園西口).
Get off at "Genken mae /原研前". (Approx. 8 mins. )
