RCMS Orchestra Students and Families,

As we all know at this point, in-person school has been shutdown for the remainder of the school year. I am devastated to not get any additional time with the students in our classroom for the rest of the year. Orchestra is a team activity, and even more than that, it is a family. There is simply no complete substitute for collaborative, in-person music-making and learning. I am appreciative of all of the efforts of our students so far to keep up their skills individually and adjust to new routines and procedures to keep making progress individually and as a team. I am remembering to remind myself regularly to be thankful that what we do in orchestra is something that continues past this year will bring us all back together again in the fall. Although I won't get to the chance to offer any additional direct in-person instruction to our outgoing 8th graders, I will make sure that we all get to see each other again in the fall. My current plan is to invite all of our 8th graders back to participate in our fall concert to recognize our students and celebrate the end of middle school with you, as we would have done at our Spring Concert, which we know is always designed to be a special parting gift for our 8th graders. I have new info on quite a few "nuts and bolts" specifics to go over with everyone below, but please keep reading for some fun information about putting together our end of year slideshow and awards!

District Counseling and Social Work Department

Student On-Campus Belongings Pick-Up May 4-6

Students and parents have received information from our campus about personal belonging drive-through pick-up that will take place May 4-6. Students will be assigned specific arrival time windows and strict guidelines on traffic flow and social distancing procedures. I will be carefully going through all orchestra lockers and our classroom and placing all student personal items with their school belongings for pick-up. We have been asked at this time not to use this time window for students to return anything orchestra-related. However, if you have a specific, time-sensitive need to return something orchestra-related, especially if due to an upcoming move out of district, please contact Ms. Harvey and I will request special permission to allow the student or parent to return any necessary items, such as instruments or uniforms.

Instruments

  • Students who are using a Denton ISD instrument and will be continuing with orchestra in Denton ISD next year: You will be able keep your instrument checked out through the summer. This includes 8th graders who are progressing to a Denton ISD high school next year and anyone moving to a different Denton ISD middle school next year (please alert me if this is the case so I know where to find you). At some point you will be asked to send Ms. Harvey a photo of the instrument for end-of-year inventory purposes. All district instruments will be checked back in at the beginning of the school year. Students who qualified for the fee waiver instrument program will be able to reapply again at the beginning of the year.
  • Students who are using a Denton ISD instrument and will NOT be returning as an orchestra student to Denton ISD in the fall: You will be REQUIRED to return your instrument by the official end of the current school year. Instrument return will take place sometime between May 11-20 and more info will be sent out to you soon. Please go ahead and contact Ms. Harvey if you know that you will need to return your instrument so that Ms. Harvey can make sure you get the correct info.
  • Students using a personal rental instrument should plan to keep their instrument rented through the summer as usual. Remember, most music store rental programs are a rent-to-own program. Even if you feel you might not have much practice time over the summer, it is usually better to keep your account open to continue to build your "credit" with your rental company that can eventually be applied towards the purchase of an instrument.
  • Re-Sizing: I understand that some students may be anxious to get re-sized to move up a size of instrument as soon as possible. At this time, it is best for all students to remain on the instrument they are currently using and wait to be re-sized at the beginning of next school year. No in-person appointments will be able to take place on campus, and most music stores are limiting appointments only to the most essential needs.
  • Instrument Damage/Repair Issues over Summer:
    • Personal rental instruments: Call the store your instrument is rented from and schedule an appointment to drop your instrument off at the store.
    • Personally owned instruments - consult our recommended music store list for recommended repair vendors. Call the vendor of your choice for a repair appointment.
    • DISD Instruments - contact Ms. Harvey before doing anything. You will receive information on how to take your instrument to a specific district-approved repair vendor in person. In the event that something needs to be repaired that is due to normal wear and tear (that is included in the usage fee you paid), you will not be charged for the repair cost (the district will be billed directly).

Uniforms

(Philharmonic and Chamber Students)

  • In order to limit the need for in-person interactions and additional student trips to the school, I am suggesting that all Phil and Chamber students keep their orchestra uniforms stored safely at home over the summer and we will collect them at the beginning of next school year. You do not need to take your uniform for dry-cleaning, this will be taken care of at the beginning of the year when all uniforms are returned.
  • 8th graders - I will work out a turn-in procedure with your high school directors. Be prepared to turn in all parts of your uniform (and garment bag for all girls and a few boys who checked one out) properly labeled with your name to ensure I can confirm your turn-in.
  • If a student believes they will not be returning to Denton ISD next year or if you do not feel comfortable storing your uniform over the summer, please contact Ms. Harvey for information about turning in your uniform ASAP.

Refunds/Credits

Prior to spring break, some students turned in money to the orchestra for several things that are now not taking place. While the district is setting up some refund procedures, we have been warned that anything of smaller dollar amounts will take a very long time, possibly a month or more. The district's priority right now is processing refunds for large expenses, such as some of our cancelled high school fine arts trips that students had paid hundreds of dollars for. Due to the complex procedures this involves, and the fact that we did not have any students turn in very large payments for anything, my recommendation will be for parents to allow me to keep a record of payments and credit those amounts to the students at the beginning of the next school year, allowing them to apply that amount towards a reduction of their orchestra fee, or towards the exact same activity they had already paid for. This amount will appear as a balance in the "miscellaneous" income section of their Charms account to start the year. Please do not hesitate to contact me directly with any questions or concerns about the following procedures.

ACTION ITEM: I will need to collect proof that each parent approved the use of the student's current balance as a credit towards next year, or requested a refund instead. I will be compiling a list of all student balances and emailing parents a short google form that you will complete to make sure that I have a record of your response. The list and google form will be emailed out sometime during the week of May 4.

LIST OF FEES THAT WILL BE CREDITED TO NEXT YEAR OR REFUNDED:

  • Solo & Ensemble - $6 per event
    • Solos - Ms. Harvey will be organizing an online solo contest where students will have to opportunity to turn in video submissions. More info to come. The student's $6 will still be used to cover the hiring of judges, and the medals and trophies the students are awarded.
    • Ensembles - since ensembles cannot take place, Any student who paid $6 towards an ensemble will have $6 credited to them in Charms to start the next school year.
    • Accompaniment - students who paid to hire a piano accompanist will have this amount credited to them in charms to start the year
    • 8th Graders - I am working on a plan with the GHS directors to follow similar procedures as listed above - a "credit" in the amount of your solo & ensemble fee will be credited to you in Charms account in 9th grade and can be applied towards your first high school orchestra fee.
  • 6th Grade Pride of TX Festival - we had a handful of students who turned in their $20 field trip fee prior to spring break. These students will have this amount credited to them in Charms to start the next school year.

Auditions

As most of our students know, high school audition recordings were turned in to the GHS directors last week, and middle school varsity audition recordings were due this week.

Remember that no one is required to audition to participate in orchestra - students will always have a non-varsity level of orchestra they may participate in with no required audition from 7th through 12th grades.

I will post alerts on google classroom when audition results are finalized for both high school and middle school with links to view results.

End of Year Slideshow and Awards

As most of our orchestra families know, we typically celebrate the end of the year with a slideshow. If you have any good photos from any orchestra event so far this year that you think could be used in our slideshow, please email these to me no later than Friday, May 8 at aharvey@dentonisd.org.

8th grade students and families - please look out for an email this week with even more specifics about submitting photos of our 8th graders for their special portion of our slideshow. I will be asking for these to be submitted by May 8 as well.

All students - soon you will be seeing an assignment pop up in google classroom to complete our annual end-of-year awards ballot. As always, please remember to read instructions carefully so that you can be sure your vote is counted.
