Friends of Baldwin Officer Role Descriptions
President and Co-President:
Provide strategic oversight and leadership of all organization's programming and budgeting.
Plan and lead monthly Friends of Baldwin community meetings and executive team meetings - 1-2x/month
Liaise with school administration and teachers to share updates on events and funding - 3-4x/year
Communicate with community members, families and caregivers - 1-2x/month
Collaborate with other volunteer leaders in organization of events and fundraisers - 4-5 events/year + additional meetings
Treasurer and Assistant Treasurer:
Support the organization by overseeing all accounting, check deposits and payments.
Make bank deposits at Cambridge Savings Bank (e.g., after school bake sales, when checks are received) - 1-2x/month
Maintain detail/history of bank deposits - 1-2x/month
Track donations and send donor acknowledgements - annually, at a minimum
Run Square reports as needed to track sales - 1-2x/some months
Budget tracking, bank reconciliations and 990 tax filing review - 10-20 hrs/year
Attend Friends of Baldwin community and executive team meetings whenever possible - 1 hr/month community meetings / 1-2 hrs every 6 weeks exec team
Clerk:
Responsible for all corporate maintenance duties, including recording of meeting minutes from Friends board meetings
Prepare and files annual reports and other corporate documentation.
Help develop written Friends communications as needed, supporting the President and Co-President.

Volunteer Leader & Position Role Descriptions
Bread Sales:
Pick up bread donated by Iggys (will need a vehicle for this) and sell bread on Friday afternoons in the back hallway.
Recruit and coordinate volunteers to do assist as needed.
The bread sale funds the main dish for the Teacher Appreciation Luncheon.
Time commitment: 1.5-2 hours a week (~2-3:30 PM) on Fridays while school is in session.
Gear Sales:
Research printer options and order Baldwin-themed merchandise
Organize sales of Baldwin themed gear at community events and online
Family Fall Fun Day:
Coordinate volunteers to plan, set up, operate and clean up one hour of Fall fun activities at Sacramento Field.
This is a great opportunity for 5th grade families to kick off fundraising for their class overnight.!
Election Day Bake Sale:
Organize bake sale on Election Day (November) to raise money from people entering the building to vote.
Secure and coordinate food donations, organize a Costco/BJ shopping trip, and oversee scheduling of volunteer shifts on Election Day.
Communicate with Room Parents so they can encourage families from all grades to volunteer baking and selling time.
Time commitment: 1-2 hours/week organizational in October, 2-4 hrs/week early November Election Day (or organize others to manage parts of the day - staffing must be organized from 6:30AM-8:30PM)
Holiday Fundraiser (Wreath Sale):
Organize and publicize the annual holiday wreath sale.
Help decorate the wreaths.
Sell wreaths in front of school and recruit volunteers to assist as needed.
Time commitment: Decorating wreaths: ~ 4-6 hours. Selling wreaths: 4-6 hours (2-3 hours for 2 days after school). Need 3-5 people
Spring Fundraiser:
Organize, coordinate and solicit donations for the end of year fundraiser (May/June).
Work alongside the webmaster and Friends of Baldwin team to upload auction items, run the auction, and distribute winnings in a timely manner.
Time commitment: TBD
STEM Day:
Coordinate a team of parent volunteers to create a fun filled day of Science, Technology, Engineering and Math activities for each grade at Baldwin
Communications:
Develop content for FOB email newsletter updates
Collaborate with Baldwin Family Liaison (Susan Tiersch) on content updates to the weekly Baldwin Brief
Update social media accounts and coordinate with website owner on site updates
Website:
Responsible for all website maintenance and event updates for Friends activities throughout the year.
Help develop communications as needed to support the Friends organization online.
