Congratulations on your next chapter! As someone who is leaving the District, you'll want to ensure that you can transfer all of your data to a location that you can access once your Fort Thomas Account has been closed.
Teachers: If you share files with any of your colleagues, you will want to first transfer copies of those files to a Shared Drive, OR give your colleagues time to copy the files before you transfer them. Please have a conversation with them to discuss strategies.
✅ Move all files your department needs to a Shared Drive
✅ Export your Schoology Courses to your Department or Grade Level's Schoology Group
✅ Decide how you want to access your files in the future and transfer them to your storage option of choice (see below)
✅ Move your Google Drive files through Google Takeout (see below)
✅ Move your Microsoft files to your storage location of choice (see below)
✅ Share your Canva and Adobe files to a personal account and make sure you copy them
Do you want to access your files from Google, or would you prefer to have them all stored on an external drive?
If you are going to save to a personal Google Account, make sure that you have that set up and ready to go and follow the directions for "Personal Drive: Transfer your District Google Drive to your Personal Drive" below.
If using an external storage, you will need to purchase something that will plug into MacBook or has an adaptor that is USB-C, then follow the directions under the section labeled "External Drive: Export your District Google Drive" below.
In both cases, you will need to ensure that you have enough storage for all of your files. A free Google account is only 15 GB of data, so you may need to be prepared to purchase more. Click here for quick access to setting up an account.
Under FInder, review files in:
Downloads (all folders)
Documents (all folders)
Any that you want to save should be selected and uploaded to your Google Drive, or transferred to your external drive.
If using Google, you might choose to upload to your personal Drive or your School Drive, depending on if you want to make a transfer of all files together.
Check out directions from Microsoft Support by clicking here if you need more detail.
Click on Office 365 in Classlink
Click on the "Waffle" in the top left and Choose OneDrive
Click on "My Files" on the left of the screen, hover over the file or folder you'd like to download, and click on the three dots and choose download
Once the Microsoft files you would like to save have been downloaded from your OneDrive, you can move them to the location of your choice - your external drive, or Google Drive.
If you have files you would like to save from accounts in products like Canva and Adobe that were created with your school email, you will need to download the files you would like to save and add them to your new Google Drive.
For Canva, if you would like to save editable designs - check out the directions by clicking here
On your school device, logged into your District Account, go to takeout.google.com/transfer
Enter the Google Account where you would like to save your content. Select Send Code
On your personal Gmail account, on your phone or in another window, check your personal Gmail inbox for a confirmation email from Google. Choose get code.
A new tab opens with the code.
Enter the code in the "Transfer your Content Window" and choose Verify.
Choose the content you would like to transfer and choose Start Transfer.
Depending on how much data you have to transfer this could take a few hours up to a few days.

Watch the video on the left if you need to see what the process looks like.
If you are using an external drive, you will need to export the files in your District Google Account and then save to the Drive. To do that go to takeout.google.com, select what you would like to export, and wait to get notification that it is ready for download. This could take a few hours to a few days, depending on the size of your Google Account.
Once you receive notification that the zip file is ready, you can download it, then move the .zip file to your external hard drive.
