1. Morning Check-In and Attendance
Create Rosters:
The lead teacher prepares a full student roster prior to the trip.
Divide students into small groups, assigning each group to a specific chaperone.
Each chaperone receives their group roster, while the lead teacher keeps a master roster of all students.
Arrival and Check-In:
As students arrive, the teacher checks them off the master roster.
Once checked in, students are directed to their assigned chaperone’s table.
Students not attending (absent or not participating) are noted, and the updated “non-attending list” is sent to the front office immediately.
2. Loading the Bus
Supervision During Boarding:
At least two teachers supervise the boarding process.
Chaperones monitor their groups and ensure all assigned students are present.
The lead teacher conducts a headcount as students board.
Final Bus Check:
Once students are seated, conduct both:
Headcount – verify total number matches the roster.
Roll Call – call each student by name, requiring a verbal response.
3. Arrival at Field Trip Site
Unload in an Orderly Manner:
Students remain seated until the lead teacher confirms the group is ready to exit.
Teachers and chaperones guide students as they exit the bus and gather at a designated meeting point.
Supervision Inside the Venue:
Teachers monitor movement, ensuring students walk in assigned groups.
Teachers position themselves strategically:
One teacher/chaperone leads the group.
One teacher/chaperone walks at the back.
Teachers stationed near restrooms or exits ensure no student leaves without permission.
If seated (e.g., for a show or presentation), teachers sit at the row ends so students must pass by them to leave for restrooms.
4. Departure from the Field Trip Site
Gathering and Loading:
Teachers lead students back to the bus in assigned groups.
Chaperones confirm all their students are present before boarding.
Final Roll Call & Safety Check:
Once on the bus:
Conduct three headcounts.
Conduct a verbal roll call, requiring each student to respond.
A male and female teacher check the bathrooms and venue area to ensure no student is left behind.
Both teachers return to confirm the area is clear before departure.
5. Return to School
Unloading:
Teachers supervise unloading and direct students back into the school.
Students return directly to their scheduled classes.
Final Communication:
Lead teacher makes an announcement to staff that the field trip group has returned.
Teachers in classrooms are notified that students should be reporting back to their regular schedule.
