Hello High School Community Outreach Coordinators -
My name is Holly Price and I work with Colorado Ballet Auxiliary and Colorado Ballet in coordinating the Sugarplum Ball. Every year we reach out to the various high schools / particularly the National Honor Society students (as I know they have additional volunteer hours to complete on top of the ones already required by their schools). Below is the information for the event for you to share. Thank you so much!
The Sugarplum Ball is a fundraising event for Colorado Ballet and offers fun volunteer opportunities for people wanting to get involved in the community.
Many organizations, high schools, college sororities, even corporations, encourage and/or require their constituents to complete community service hours and the Sugarplum Ball is a terrific way to meet those requirements. The Sugarplum Ball is an event for families, so we have large groups of children as well as adults enjoying the festivities at The Brown Palace.
Below are the details….
We like volunteers to come for the full time if possible as it is a little difficult to train them on what to do mid-event.
Date: Friday, November 29th (the day after Thanksgiving.)
Volunteer hours: 2:45pm-10/10:30 -11:00 pm
The types of activities volunteers will assist with:
Helping with final set-up of the event – table settings, décor re-purposing in various rooms, etc..
Assisting the photographer
Helping with guest check-in, information and traffic flow
Assisting with the Rose Presentation
Working with the children throughout the evening in various capacities – chaperoning them at the festivities and magic show, etc…
Helping dismantle décor in some of the areas no longer in use as the evening wears on
Assisting with take down of décor and repacking in the staging room
A brief overview of the event:
Starting at 3:30 the families start to arrive.
Volunteers will be helping with the final décor and placement of gifts and ensuring that wine selections were placed on the tables.
At 4:00 pm there will be a closed rehearsal for the Rose Presentation. This will run until about 5 pm. We will have a few volunteers here assisting.
At approx. 4:45-6:15 – families will have family photos taken – volunteers to assist
From 5 pm-6pm the Ball attendees will be in a cocktail reception in the main lobby – again volunteers to assist
From 6:15-7:00 Rose Presentation. Some volunteers to assist and some volunteers to assist in breaking down the cocktail reception décor as the Brown Palace will need their lobby reception area back for their hotel guests, etc…
7:00 Families / Ball attendees will go to dinner and volunteers will have about 15 minutes for our dinner – which we provide to the volunteers. We will have some volunteers assigned as “Room Captains” for the dining rooms and they will have their dinner either before or after guest dinner
7:25 we collect all the kids and take them to their special “kids entertainment” so that the parents can have dinner in peace! All volunteers on-deck.
8:30 we bring kids back to ballroom to meet with their parents for dancing – some volunteers stay in the ballroom area to assist while some will help with décor management in the dining rooms
8:30-11:00 pm volunteers to assist in taking down the décor in the dining rooms and the kids entertainment room and taking to our staging room.

Colorado Ballet is a non-profit so this counts as a true volunteer event. We know it is a long evening, so we provide a pizza dinner for our volunteers. Parking downtown can be difficult so we will also provide volunteers with a parking pass for the event.

I would LOVE to have other NHS students help out with box office, concert dinner concessions, ushering, etc for any performing arts activities. How best can we get the word out to them to let them sign up for a slot?
I know the kids are busy but this might be some easy hours and do it with friends/for friends. What do you think?
