Section 1. The officers of the IN el guarani chapter are: President, Vice President, Secretary, Treasurer, and Historian. The Secretary/Treasurer position may be combined. The officers must be enrolled in a Spanish class at the time of election and service and must be juniors or seniors in order to hold office as a representative of the SHH.
Section 2. Officers must be active members who have maintained good standing in all areas of membership (academic and service). They must submit an application for consideration, and go through an interview process. The SHH advisor and a committee will conduct the interview of all interested in an officer position. After interviews, the committee will make their recommendation for officers. The SHH advisor will contact those chosen for a position to offer the position. Once all positions have been accepted, officers will be announced to the rest of the society.
Section 3. The duties of the officers are as follows: to have consistent attendance at meetings; to serve as models of diplomacy for other members of the SHH and the Whiteland Community High School community; to delegate, plan and organize the induction ritual through ceremony parts, the reading of the script in Spanish and English, the set-up of the ceremony venue, the preparation of food and beverages for the ceremony, and to speak with new members about their responsibilities and commitments in order to maintain membership in good standing, etc.
Section 4. The role of the President is to delegate and organize the annual induction ceremony, preside at meetings consistently, and serve as the SHH student spokesperson, prospective candidates, the Spanish Department and the high school.
Section 5. The role of Vice President is to assist the President collegially, use social media to announce all meetings, keep Google sheet record of SHH tutor service and fundraiser projects, and be in charge of official correspondence of the SHH chapter within the school and community.
Section 6. The role of the Secretary is to keep the ledger of initiates, active members and their qualifications and attendance up to date via Google sheet. The secretary will also maintain detailed notes for every executive board and general body meeting. The secretary will work closely with the President and all executive board members to ensure the agenda includes all points needed to be discussed.
Section 7. The role of the Treasurer is to keep the financial records of the SHH chapter and follow the rules for deposit and disbursement as outlined by the Whiteland Community High School bookkeeper. The Treasurer corresponds with the SHH Sponsor to ensure that payment of the SHH national dues in order to receive the certificates for distribution at the ceremony.
Section 8. The role of Historian is to record chapter events, taking pictures and creating pages for the “IN el Guarani” chapter scrapbook. The Historian will also work with the SHH Sponsor to submit chapter news to the national organization.
Section 5. Executive board members and committee leaders will have a summer training/orientation prior to the new school year beginning. This will serve as preparation time for the new school year. In addition there will be a mid-year retreat prior to the start of 2nd semester used to reflect on the first semester and plan for the rest of the year.
a) If unable to attend the summer retreat, the member will be put under a probationary status with expectation of 100% attendance for the future meetings. The attendance will be reviewed at the end of the semester in order to appeal probationary status.
b) Failure to meet the expectations will result in prompt termination from the position.
Academic/Language Chair - reports/meets with the VP. This committee focuses on the academic and language purposes of the chapter, serves as liaison for State and National participation, oversees the tutoring program, and provides opportunities for language enrichment for chapter members.
Engagement Chair - reports/meets with the VP. This committee is responsible for planning and coordinating activities such as Hispanic cultural holidays, events, and incentives to maintain chapter engagement.
Display Case Chair - reports/meets with the VP. This committee is responsible for ALL cultural display cases executed at the CPCSC Administration Office, WCHS display cases by the cafeteria, and World Language display cases. This committee works closely with other student organizations on an alternate schedule for the shared display cases (CPCSC Admin and WCHS cafeteria). There is at least one display case to update per month.
Volunteering/Service Chair - reports/meets with the VP. This committee ensures there are multiple ways for members to volunteer throughout the school year with 1 to 2 opportunities per month. This committee works on researching and contacting various organizations/groups for volunteering opportunities.
