QUESTION: Can a scholar order anything?
ANSWER: No, all items on EMR (materials) orders must be basic/standard/economy-grade (not professional-grade) and aligned to the scholar's Master Agreement (MA). Please refer to the Approved Materials page for details.
The supervising teacher (ST) will guide families in selecting academic materials and services from the approved community provider list to support the scholar’s educational goals and will use professional judgment to determine appropriateness. Core subjects (Math, Language Arts, Science, Social Studies, and required high school courses) must be established before ordering enrichment resources.
Materials (EMR) Orders
All materials purchased with Educational Support Resources (ESR) are the property of Compass Charter Schools. Unused consumables and all non-consumable items must be returned within a week of the scholar's withdrawal date. Learning Coaches are responsible for replacing or reimbursing the school for any non-consumable materials that are lost, stolen, damaged, or not returned.
Materials must be basic/standard/economy-grade (not professional-grade), consistent with public school purchasing requirements. Before placing an order, verify item details on the provider’s website. Include the item number, item's name, and the product URL in the designated URL Description field.
Families are not to contact the provider if there is an issue with the order. Please reach out to your Supervising Teacher.
There will be no returns, refunds, or cancellations.
Materials with faith-based content are not eligible for purchase.
Services (VCI) Orders
Compass Charter Schools only pays for services covered by an approved purchase order (P.O.) and only up to the amount authorized. Compass is not responsible for additional fees, including drop/change, late pickup, or other incidental charges. Any required registration fee must be included on the first purchase order for the service. Please review the service provider’s policies before submitting a request.
Compass Charter Schools only pays for services when an approved purchase order (P.O.) has been processed for the amount stated on the purchase order.
Any fees incurred after a scholar withdraws from the school are the responsibility of the Learning Coach.
Scholars may not enroll in classes with instructors who are not listed as approved in OPS, in accordance with Education Code 45125.1.
Scholars may not attend all-inclusive learning centers or programs for more than two full days or 12 hours per week.
Compass Charter Schools cannot pay for special competitions, performances outside of regular lessons, team activities, club dues, drop/change fees, or drop-off and late pick-up fees.
Faith-based services are not eligible for purchase.
QUESTION: Do families need to notify the school of a change of address?
Answer: Yes, the Learning Coach (LC) needs to complete the Change of Contact Information form. The address needs to be updated in OPS prior to the LC submitting an order to their Supervising Teacher (ST).
QUESTION: Can families be reimbursed for past/present out of pocket expenses?
ANSWER: No, families cannot be reimbursed with state-funded dollars for any out-of-pocket expenses that have already been paid, at any time, or for any reason.
QUESTION: Can a scholar order classes that are held on a non-school day?
ANSWER: No, Compass Charter Schools can only pay for services that are held on a school day.
QUESTION: Can materials be mailed to the families PO Box?
ANSWER: Families using P.O. Boxes as a mailing address may encounter delivery issues as not all vendors will ship to a P.O. Box (eg. Amazon, Studies Weekly, Home Science Tools)
QUESTION: What should families do if an item/order arrives damaged or missing?
ANSWER: It is the parent/guardian's responsibility to confirm receipt of the materials and report any missing or damaged items to their Supervising Teacher (ST) within two business days. Prompt communication with your ST is of the utmost importance. Families should not contact the provider.
