1. Purpose
The purpose of this policy is to provide guidelines, objectives and set expectations for participation in one or more of Compass’ pilot. The pilot program aims to provide early assess to pre-release functionality, gather user feedback, and allow Compass to assess suitability before approval into the broader platform, full development and/or full deployment.
2. Scope
This policy applies to all stakeholders from the School who are involved in the pilot program. It covers the pilot’s duration, participant selection, data handling, and the evaluation process.
3. Objectives
• To evaluate the software module’s performance and effectiveness within Schools.
• To identify and resolve any technical issues, bugs, or usability concerns.
• To determine feasibility of the module and suitability to be released as a production module (either included in existing modules or sold separately).
• To gather comprehensive feedback from users to tailor the software to determine if further changes may be required.
• To ensure the software integrates seamlessly with a schools existing systems and workflows.
• To determine the readiness for full-scale deployment if at all.
4. Participant Selection
4.1 Eligibility
Participants from Schools will be selected based on their roles, familiarity with similar software, and the potential impact on their daily tasks. Compass at its discretion may invite schools to participate in one or more pilot programs.
4.2 Collaborative Participation
Participation in the pilot program requires active collaboration between the School and Compass. Feedback and communication are essential to the program’s success however it is a requirement that feedback be directed to Compass (and not shared publicly or with third parties).
5. Pilot Program Timeline
5.1 Duration
The pilot program may run for a defined time, however, may be indefinite or may be terminated by Compass at any time (for both technical and operational reasons). Where possible, Compass will provide notice of any termination.
For the avoidance of doubt, invitation to participate in a pilot program does not guarantee that the module or enhancement will:
1) be released to Compass in a production capacity;
2) be deployed in the same state to production as may be available during the pilot program;
3) be provided free of charge;
4) be changed based on any feedback or suggestions received;
5) be delivered or made available within any period or timeframe; or
6) be free from defects or suitable for use in a production context.
6. Data Collection and Confidentiality
6.1 Data Collection
Data collected during the pilot will include additional usage metrics, error reports, and user feedback from School participants. This data will be used exclusively for evaluating and refining the software module.
6.2 Confidentiality
All data collected will be handled according to both Compass’ data protection policies. Confidentiality applies with regards to the module, operation, screenshots or third-party commentary during the pilot period.
7. Customer Support and Communication
7.1 Dedicated Support
Depending on the module or pilot functionality, Compass may direct Schools dedicated support resources, including a help desk, technical support team, and user documentation. Any issues encountered should be reported through the agreed-upon channels.
8. Evaluation Criteria
The software module will be evaluated based on the following criteria:
• Functionality: Alignment with School specific requirements and use cases.
• Usability: User-friendliness and ease of integration into existing workflows.
• Performance: Stability, speed, and reliability in School environments.
• Integration: Compatibility with School’s existing systems.
• Customer Satisfaction: Feedback from Schools participants regarding their overall experience and any risk to NPS with participant Schools (or end users)
• Feasibility: Ongoing cost both financial and time to operate both technically and logistically
• Other critera applicable to the specific module/function.
9. Reporting and Feedback
A final position on the module or enhancement will be compiled at the end of the pilot, summarising findings and Compass position, including when this module will (if at all) be published as part of our offering, as well as any price implications of the module or pilot enhancement.
10. Review and Amendments
This policy will be reviewed and updated as necessary based on the outcomes of the pilot programs, without notice.
If you do not agree to this policy, you should not participate in a pilot or early access program.
