PTO Policies
Working Hours
Our internal team operates between 9:00am - 5:00pm CST, Monday to Friday.
Your working hours will be based on an agreed time between you and the client.
Paid Time Off (PTO)
All contractors receive 12 Paid Time Off (PTO) credits per year.
Full-timers - 1 PTO = 8 hours
Part-timers - 1 PTO = 4 hours
Your PTO accrual begins the day you join our company and you receive 1 day per month. You can take your PTO at any time after 90 days with Coconut VA and you can use time off you haven’t accrued yet, with conditions:
Any non-accrued PTO credits that are used may be deducted from the 13th Month Pay that Coconut VA sets aside for you, in the case that you leave Coconut VA before those PTO credits can be accrued.
Example: Bob has earned 3 PTO credits but he receives approval to take 5 PTO days. If Bob leaves Coconut VA immediately afterwards, the unearned 2 PTO credits will be deducted from his 13th Month Pay.
If a VA transitions from being a part-time VA to a full-time one, the value of the PTO credit will also change.
Example: Bob has earned 6 PTO credits (or 24 hours) as a part-timer , but he became a full-timer. His existing PTO credit will become 3 (still 24 hours).
You cannot transfer any remaining PTO to the next year. We encourage you to use your time off throughout the year.
If you want to use PTO, send a request to your client and CC your VA Success Manager. If your client approves, you are permitted to take your leave.
Paid Holidays
Our company observes the following federal US holidays (list as of 2023):
New Year’s Day: Monday, January 1 (Observed Monday, January 2)
Martin Luther King Jr Day: Monday, January 15
President’s Day: Monday, February 19
Memorial Day: Monday, May 27
Juneteenth: Wednesday, June 19
Independence Day: Thursday, July 4
Labor Day: Monday, September 2
Indigenous Peoples’ Day (also observed as Columbus Day): Monday, October 14
Veterans’ Day: Monday, November 11
Thanksgiving: Thursday, November 28
Christmas Day: Monday, December 25
New Year's Eve: Tuesday, December 31
If a holiday falls on a day when our company doesn’t operate (e.g. Sunday), we will observe that holiday on the closest business day. However, this is subject to change depending on your assigned client’s discretion.
Working on a Holiday
The above list of holidays are considered “off-days” for all contractors. If you are needed to work on a holiday, inform them at least three days in advance. You will be granted an additional day of PTO that you must take within [12 months] after that holiday.
Parental Leave
Caring for a newborn is an exciting time for parents. We want to support new mothers and fathers in their first months of parenthood with paternity and maternity leave.
Maternity leave
Our company offers one month of paid maternity leave, with one additional month of optional, unpaid maternity leave. If you are about to be a new mother (either through childbirth or adoption), please let your VA Success Manager know at least 4 (four) months before your due date (if you're less than 4 months away from your due date, let us know before hiring date) so we can arrange your leave and train a temporary VA to replace during your absence.
Paternity Leave
Our company offers one week of paid paternity leave for expecting fathers.
Returning to work after parental leave
We are committed to helping new parents transition back to work after their leave ends. We will provide a baby care package to welcome your little bundle of joy.
