Third-Grade First Responder Appreciation Bag Co-Coordinators

Number Needed: Two co-coordinators, plus assembly-day volunteers
Estimated Commitment: Approximately 6–8 hours across several dates

Role Summary

The Third-Grade Appreciation Bag Co-Coordinators will manage the hands-on assembly process for appreciation bags honoring Cedar Hill police officers and firefighters.

The Changemakers Chair will determine the bag contents, purchase supplies, create assembly instructions, reserve the school space, manage participant communications, and coordinate with Police and Fire.

Detailed Responsibilities

• Participate in the coordinator kickoff.

• Review the appreciation-bag contents, quantities, and assembly instructions.

• Receive and inventory purchased supplies.

• Notify the Changemakers Chair promptly of missing or damaged materials.

• Help sort supplies before the assembly activity.

• Organize an efficient assembly-line layout.

• Help set up tables, materials, signs, and completed-bag areas.

• Welcome and check in participating families.

• Explain or reinforce the assembly process.

• Supervise students and families at the assembly tables.

• Replenish materials as supplies are used.

• Check completed bags for consistency and missing items.

• Count and record the number of completed bags.

• Box or store completed bags safely.

• Coordinate cleanup of the assembly area.

• Help present or deliver the completed bags to Police and Fire representatives.

Supply and Setup Coordinator

• Monitors supplies during the activity.

Assembly and Completion Coordinator

• Supports participant check-in.

• Supervises assembly.

• Checks, counts, boxes, and tracks completed bags.

• Coordinates transportation and delivery.

Proposed Timeline

• Sept. 23–30: Coordinator registration

• Oct. 1–2: Virtual coordinator kickoff (30 minutes)

Exact meeting time will be coordinated based on the selected coordinators’ availability. Individual kickoff sessions may be scheduled if needed.

• Oct. 9–16: Fall Break

• Oct. 21: Community Connections Night; showcase information about the upcoming third-grade appreciation-bag project

• By Friday, Oct. 23: Receive the final assembly instructions, participant and committee-volunteer information, and purchased supplies from the Changemakers Program Chair

• Week of Oct. 26: Coordinate the participating families and committee volunteers and hold the First Responder Appreciation Bag assembly

• By Oct. 30: Count, inspect, and package the completed bags; coordinate delivery of the appreciation bags, thank-you cards, and selected artwork to local first responders
