HotSchedules is our online scheduling platform. All scheduling needs should be communicated via the HotSchedules platform. Details regarding HotSchedules can be found below.
What is Availability?
Availability is when a Team Member is available to work as agreed upon when they were offered employment.
It is not when the Team Member would prefer to work, but when they are available to work. Team Member availability should only change occasionally for certain reasons. Some examples include: new school schedule, new sport season, summer break, etc...
Team Member availability should not change every week. Changes without a reason will not be accepted. As working on Saturday is a condition of employment with us, no availability changes that include “unavailable” on Saturday will be accepted. If you have any scheduling concerns, please reach out to the Director in charge of scheduling.
Changing your availability on a web browser is much more intuitive than using a mobile device.
What are Schedule Requests?
Schedule requests are used when a Team Member needs time off that falls within their normal availability. All schedule requests need to have a reason for the request or they will not be accepted. All schedule requests must be submitted by Saturday at 11PM two weeks in advance. Schedule requests should be put in via the "Time Off Needed" function via the HS Teams App.
What is Releasing a Shift?
Releasing a shift is a great way for Team Members to accommodate sudden changes in their week. It is important to remember that releasing a shift only allows another Team Member to pick that shift up pending manager approval. If no Team Member picks it up, it is still your responsibility to work that shift.
If a Team Member is consistently releasing shifts for reasons that should have been timely schedule requests, they will very likely see a reduction in hours and possibly be removed from the schedule.
What is a Blocked Day?
You may put in a request for a day off and be confronted by a blocked day. This is a day on which schedule requests are not accepted. This could be due to high volume (Black Friday), a special event (Selling Food at a Carnival), or simply a day with a large number of requests (A large gathering of people who think Thanos is really the hero).
Don’t despair completely. There may be options still available to you. Please reach out to the Director in charge of scheduling, or talk to them in the store. You may be able to work an early or late shift that day to accommodate your request. You may have an event that would allow you to be off on a blocked day (your own wedding), but you also may be required to work.
We are accommodating, but we do have a business to run and guests to provide REMARKable service to.
Remember the earlier you get your request in, the more likely it will be that you will get it.
Why are you disregarding the rules?
That is the question that you will hear the Director in charge of scheduling ask if you try to circumvent our clearly laid out policies. So please, do not send in last minute availability changes, do not send in availability changes without an explanation, do not send in availability changes that include “unavailable” on Saturday, and do not change your availability every week. It’s important to be respectful to those making the schedule and your fellow team members by following these rules. If there are any special needs or requests that are urgent, the Director in charge of scheduling will be happy to work with you, please reach out to them.
I can’t figure out how to use the app!
That’s OK, it happens! Just talk to any Leader and they will have one of our skilled Hotschedules experts show you how to get around on it.
For all scheduling concerns or needs, please reach out to the Director in charge of scheduling via email: scheduling@cfalg.com
Thank you for all that you do!
