We will constantly add frequently asked questions here... wait until yours is here, too! ;-)
Yes. This means that any communication about a client, their name, the mere fact whether we represent them, any details about the case, etc. are strictly confidential. Confidentiality also holds towards close family members, friends, churches, NGOs etc. and you are not releaved from your confidentiality duty after resigning from AsyLex. Any violations of this duty entails a strict civil and criminal liability. Therefore, in case of doubt first reach out to your team leader before providing any information to a third-party!
That's too bad - please make sure this does not happen again! ;) For this time, please send an email to admin@asylex.ch.
Please get in touch with your team leaders who will write a work certificate for you. Please note that (non-)participation at AsyLex Academies is explicitly mentioned in the work certificate.
Generally yes, check out our expenses regulations and if you are eligible for reimbursement send your receipts together with the expenses form to finanzen@asylex.ch.
Please DO ask for reimbursement, since we should show to our donors how we actually use our money. Even if it's a small amount - ask for reimbursement. If you want to donate to AsyLex in addition to your volunteer work, you are free to do so, but please still do proper reimbursement of your expenses, thank you!
First, evaluate what day the relevant decision was handed out to you / the client. Then you can use www.fristenrechner.ch - make sure you DEACTIVE COURT HOLIDAYS! In most of our proceedings, there are no court holidays!
You may also calculate manually. Then you start with day number one which is the day after receipt of the decision. If the last day of the deadline is a Saturday, Sunday or national holiday, the following working day is the end of the deadline.
The end of the deadline is the day on which you have to submit to the Swiss post office (not the day it arrives at the court / authority). Make sure you always send submissions with deadlines by registered mail (Einschreiben) - keep the receipt to prove the date and to ask for reimbursement of the expenses!
No. All signatures submitted to authorities have to be "real" signatures or, potentially, qualified e-signatures. Scans are not allowed.
No, you always need a written power of attorney. Our clients can do this easily online, the power of attorney (PoA) will then be sent to the office team automatically and will be forwarded to you (if you are registered for the relevant case on Zenobis).
No, that's not possible.
As soon as possible - in any event that same day, ideally you do it right away, otherwise you might forget it...
Yes - but please make sure you always use your AsyLex email address (not a private one!) and always copy file@asylex.ch (Bcc). Furthermore, please add the case number in the subject line, to make sure the email will be saved in the accurate folder for documentation reasons.
In order to ensure timely responses, you are required to check it once a day.
Yes, you can. But please follow these steps:
Send the request via email to office@asylex.ch.
Send the document ready to print as a Word and/or PDF file with either your name so we can sign on behalf of you (on documents this is allowed with!) or already fill in the name of the person present in the office so she/he/they can sign it.
Send the enclosures already labeled (directly on the PDF document, this works very easily with the text field function of PDF preview) and in one document in the same email. If merging the documents does not work, then please name the individual PDF files in the document title ("Enclosure 1", etc.).
Mention the case number in the email headline and/or the document name.
Make a note on Zenobis and add a Taks/Frist “Versand durchs Office”.
Please avoid sending documents on the same day of the deadline.
If the document needs to be brought to the post office the same day, please send it by 2 pm to office@asylex.ch or directly to the person present in the office that day.
If you have questions regarding this process, please contact admin@asylex.ch.
No worries at all - that's absolutely normal! Here are some explanations; if the abreviations you had in mind are not in the list below, please let operations@asylex.ch know!
You can find the list here.
