Hey everyone, it's Breon from ABCD Virtual Assistant. As a professional virtual assistant for over four years, I'm excited to share some tips and tricks on managing your schedule using Google Calendar. Google Calendar is a powerful tool that integrates seamlessly with many other Google services like Gmail, Google Meet, Google Drive, and Google Docs, making it an essential part of efficient calendar management.
1. Integration and Accessibility:
Google Calendar integrates with various project and task management tools, enhancing its versatility.
Accessible from anywhere via desktop, laptop, tablet, or smartphone. Just download the app, log in, and you're connected.
2. Ease of Use:
Creating appointments or tasks is straightforward. You can set specific start and end times or use the drag-and-drop feature to adjust as needed.
This is good to use when you are uncertain of when you can fit in time to work on a project. By using the drag and drop feature you estimate how much time you can dedicate between existing projects or meetings to make the most use of your time.
Google Calendar supports multiple calendars, allowing you to subscribe to different calendars, like holidays or sports schedules, and color-code them for easy identification.
In addition to the two calendars that come with the account, I suggest creating the following set of calendars ( one for your spouse, one for your kids*, one for your work, one for birthdays/anniversaries, one for your bills). Then once you have all of these calendars created and filled out, you can overlap them and see how your time is truly managed, and if you feel overwhelmed, simply unselect all of the calendars you don't need to view at that moment.
3. Collaboration and Sharing:
Share your calendar with others for easy collaboration and scheduling. You can set permissions for visibility and editing.
Use the built-in scheduling link to allow others to book appointments directly into your calendar without revealing other events.
Notifications and Reminders:
Customizable notifications can be set to alert you via pop-ups or emails.
Unlike physical calendars, Google Calendar excels in managing recurring events. Set it once, and it will remind you automatically. I highly recommend using this feature for birthdays, anniversaries, oil changes, hair cuts, anything that you would like to get into a routine of completing. Remember though if you try to take on to much it can be too much. Don’t mix up being busy with being productive. 5. Task Management:
Tasks are separate from appointments and can be given due dates and completion statuses.
Tasks set in Gmail appear automatically on your Google Calendar.
6. Time Zone Management:
This is my only and biggest drawback when using Google Calendar. Google has attempted to centralize time zones across the globe and use the GMAT feature. Unfortunately it doesn't line up with existing time zones like EST & PST. So be mindful of Google Calendar's use of GMT for time zones. Adjust accordingly for your location and the locations of others you work with.
7. Custom Views and Color-Coding:
Customize your calendar view (daily, weekly, monthly) and color-code events for quick identification.

8. Daily Agenda Emails:
Create a new calendar, input all tasks and appointments, then enable daily agenda emails under settings. This sends you a daily email at 5:00 a.m. with your schedule, helping you stay on track.
