DARS

In 2014, the Registrar's office completed the process of entering all Capstone Certificate course requirements into DARS (Degree Audit Reporting System). This transition is intended to assist Capstone programs in monitoring and managing student progress toward completion and help insure that the Certificate is properly noted on the student’s official UW transcript. DARS enables any student to audit their progress toward a Capstone certificate. DARS also enables any adviser, Capstone program manager, or other academic official to audit the academic progress of an individual student or a cohort of students (DARS batch request). The DARS audit can serve as the 'document of record' (DOR), meaning that it is used to certify completion of degree requirements, and is retained according to University record retention and archival policies as the record of how a student completed the certificate requirements.

Procedure for communicating an exception to DARS

When an exception (course substitution, etc.) to a capstone certificate requirement is granted for a student, that exception will be communicated by the capstone certificate coordinator to the Office of the Registrar via a UW Box folder, for entry into DARS by Office of the Registrar staff. At this time, Deidre Vincevineus and Barb Bowers have access to this UW Box folder.

Procedure for keeping Certificate information up to date in DARS

If corrections, updates or changes to the capstone certificate requirements in DARS are needed, it is the capstone certificate coordinator's responsibility to communicate the corrections to the DARS Encoding Service Team members in the Office of the Registrar (dars@em.wisc.edu).

The capstone certificate coordinator will promptly communicate changes to the capstone certificate curriculum to the DARS Encoding Service Team (dars@em.wisc.edu) after they have been approved through normal governance processes,* in order for the capstone certificate requirements to remain current and accurate.

*For changes and updates to the list of approved electives, it is NOT necessary to go through the formal approval process of Academic Planning and Institutional Research. (Documentation affirming that "approval through normal governance processes" is not necessary for updates to list of approved electives)

Declaring a student enrolled in the certificate program

The Registrar's Office must be notified when a grad or professional student is admitted/enrolled in the certificate program. This is done through SIS.You can ask Sally Wedde (sewedde@wisc.edu) of ICTR to notify the Registrar, or you can obtain SIS authorization to do it yourself. To request SIS Authorization, complete and submit the form at https://it.wisc.edu/wp-content/uploads/isis_auth.pdf. On the form, in the “additional role” box, enter SR_MAJ_DECL. Once you get the authorization, the path in SIS to the major/certificate request panel is Records and Enrollment>Dean/Dept Processing>Major/Certificate Requests.
