Always check with MEPC before any expenditures to ensure there is funding available.
Each resident is eligible for funding for travel and educational materials per academic year. It is important to note that the PGME office funds $650 per resident of these funds and the rest is covered by the program.
These funds are not available for use for items such as computer hardware or annual memberships. The funds cannot be accessed in advance nor can unused amounts be carried over into the next year.
You must delegate authority to the Program Coordinator so that the coordinator can input all of the necessary information in order to receive reimbursements. Please see the instructions at this link.
Conferences allowed per Academic Year include:
CAG/GRIT course (contingent on acceptance of abstract to GRIT)
CDDW/CASL meeting (contingent on acceptance of abstract to main meeting)
One other international meeting, subject to Program Director approval.
Approved international conferences include DDW, ACG Annual Meeting, and AASLD The Liver Meeting.
National/Regional conferences of sound academic value are subject to Program Director approval (i.e. Canadian IBD Conference, North American IBD Conference, ASG Fall Meeting, DDW Review).
In cases of limited attendance allowance, selection will be made by the Program Director based on career goals, equity, and fairness. Random draw may be used in cases of stalemate.
Please refer to the AHS travel guide for reimbursement maximums and guidelines.
Always check with the Program Coordinator prior to booking conferences and travel and prior to purchasing educational materials to ensure that you will receive reimbursement.
Official requests must always be made in writing at least 2 months prior to the conference date.
Residents are encouraged to approach the research supervisor for partial or complete funding support.
Always make sure any alcohol purchase is on a separate bill. Neither the program nor PGME will reimburse any alcohol purchases.
Always submit all original receipts to the Program Coordinator no later than 5 business days after return from a conference or after purchase of educational materials. This includes paper boarding passes.
Proof of attendance (i.e. name badge) at the conference must be submitted to the Program Coordinator.
Please note that receipts should always include the following information:
Conference Name, Date, Location
Dated Itemized Expense (date purchased, item purchased, company purchased from)
Whether the item purchased was in US or CDN currency
