From "Find and Replace" under "Cataloging Tools", you can generate an inventory report for a specific classroom set of books, or even equipment materials (like Chromebooks) and print it out. After searching for that specific set of books or materials, if you click on "class set", the report will display all the inventory and whether they are out on loan or not, displaying who has the copy for the particular item on loan.
What is the best way to keep track of items that are assigned to a classroom or students?
It is a matter of opinion. First, our suggestion is to assign a specific call number or location to those items. Since the call number can be composed of 2 or 3 subfields, we suggest entering the following information in each:
852#k (prefix): HR 1A or TXT
852#h (classification): Library Classification or Category
852#i: Cutter if any
852#k will be used to denote the homeroom where the item will be located and 852#h will contain the category if necessary (math, science, etc.). You can also simply enter the Dewey or library classification (ex. 800.56 or JF).
Note: We do not recommend loaning those items to a teacher or a fake patron record since this will clutter you transactions which will get mixed with your library loans. This can also cause a many overdues which might be cause for confusion. Identifying the item by location or call number can help you search easily for these items and keep proper inventory.
If you need help organizing items that are set for a specific homeroom, we can help you make global changes on your item records so they can be identified by classroom location:
Scan all barcode items for each class in a text document (Notepad, Word, Excel, Google Docs). This will provide us an accurate inventory for what need to be changed. Once we have this document, we will perform a global change for all those records and add the information in the call number or location fields.
Example: You can provide an Excel document with 100 barcodes representing 100 items for homeroom 109.
Carrying out a global change, the call number or location can be set as "HR 109".
At the end of the school year or at any moment, you can run a "class set report" for the classroom set, textbook, or equipment inventory based on this location information.
