2024/2025 EMPLOYEE TECHNOLOGY USE AGREEMENT
The Jefferson Elementary School District ("JESD" or "District") recognizes that technological resources can enhance employee performance by offering effective tools to assist in providing a quality instructional program, facilitating communications with parents/guardians, students, and the community, supporting District and school operations, and improving access to and exchange of information. Employees are expected to learn to use the available technological resources that will assist them in the performance of their job responsibilities. As needed, employees shall receive professional development in the appropriate use of these resources.
JESD periodically updates technology standards according to Superintendent’s Policies and Administrative Regulations. Staff members who agree to abide by these defined standards will have access to appropriate, available resources, with guidance and support provided by the Technology Department. Individuals with authorized access shall not use the computer in an inappropriate manner and shall comply with all District rules and regulations (*see BP 4040 and AR 4040) pertaining to technology use, as well as all state and federal laws. Individuals using these systems are subject to having all activities on these systems monitored by system or security personnel. By signing below, individuals using these systems expressly consent to such monitoring. Any violation of District policies, or federal or state laws, rules and regulations may subject the individual to termination of use without warning, discipline up to and including dismissal, and/or prosecution for unauthorized access on these computer systems. If monitoring reveals possible evidence of criminal activity, the District may provide the content of such monitoring to applicable law enforcement agencies.
Access to District technology resources carries with it the responsibility for ensuring that the use of these resources is primarily for JESD purposes and District related activities, and for maintaining the integrity and security of the District’s technology equipment and facilities. The District’s communication systems have not been established as a public access service or a public forum. The District has the right to place reasonable restrictions on the material employee’s access or post through the technology resources. In the interest of making the use of technology resources a natural part of the daytoday work of all members of the District community, incidental limited personal use is acceptable. Use of District technology resources for personal purposes should be incidental, done on the employee’s own time, and at the employee’s own risk. The District’s technology resources shall never be used to solicit commercial sales for personal benefit, religious activities, or for political lobbying. JESD accepts no liability for employee owned technology resources used on JESD property.
While using District technology resources, each employee must act in an appropriate manner consistent with District, ethical, and legal principles. This includes any remote access which employees may gain off site, but which involves the use of District sites, servers, intranet facilities, email accounts, software or equipment. It also includes the use of personal technology resources when such personal resources are utilizing District servers, intranet facilities, email accounts, software or storing or accessing JESD data.
School computer systems are for use by authorized individuals only. Any unauthorized access on these systems is prohibited and is subject to criminal and civil penalties under federal and state laws. In order to comply with state and federal privacy laws, non JESD employees (such as parents, volunteers, or students) may not access any employee devices or secured resources since confidential or protected student information or sensitive email communications may be stored or accessed from there.
Artificial Intelligence (AI) is a system of machine learning that is capable of performing complex and original tasks such as problem solving, learning, reasoning, understanding natural language, and recognizing patterns in data. AI is becoming more prevalent in our daily lives and is being integrated in a variety of technical applications. The District recognizes that the use of AI can enhance student learning experiences and be a resource for staff and teachers. The District authorizes the ethical and legal use of AI as a tool to support and expand on classroom instruction, increase learning opportunities, and as a general tool for staff and teachers subject to limitations listed in the AI Guidance document and any other applicable Board Policies.
No information technology resources can absolutely guarantee the privacy or confidentiality of electronic data, information and the transmission of such. However, all employees shall take reasonable precautions to protect electronic data, information and the transmission of such containing private and confidential information. The privacy and protection of personally identifiable student and employee data is of paramount importance. Likewise, the safeguarding of physical technology resources assigned to employees is the responsibility of the employee. It is the employee’s responsibility to report the loss of private and confidential information, and the loss of technology equipment to the Technology Department immediately upon the discovery of the loss.
An employee has no specific ownership or possessory right in the District technological resources used or in the information stored or created therein. Computer use, email, and Internet access are intended for District business, and District employees shall have no right or expectation of privacy in any Internet activity or information stored on District equipment or networks. Supervisors shall have the right to review any Internet activity or information stored on District technology resources of any employee supervised by them at any time and for any reason, including but not limited to retrieval of information in response to the Public Records Act; retrieval of records in compliance with the Pupil Record Act, Education Code section 49062, et seq., FERPA and AB 1584; and/or to fulfill statutory duties and Board policies to maintain public records.
Technology resources are provided to JESD employees in order to perform their job duties. No personal devices will be supported. Any JESD employee on extended leave of absence is required to return any issued technology devices to their site administrator before taking leave. Any necessary technology devices will be reissued to the employee upon their return to work.
Users are ultimately responsible for their actions in accessing and using JESD computers and/or mobile devices and the JESD network. JESD accepts no liability relative to information stored and/or retrieved on JESDowned technology resources.
