The migration itself will take place in stages throughout the last half of September and first half of October 2012. The below outline lets you know what you need to do to ensure a smooth transition. A complete outline of what migrates, when is also available for quick reference.

The first stage of migration

September 24 - October 14, 2012

During this stage Information Technology will start to copy your GroupWise content to Google. This Includes email and calendar events prior to September 1, 2012, and all contacts. This stage of the migration will happen "behind the scenes" and you can continue to use GroupWise as per normal, with just a few caveats.

Do NOT modify older appointments and email, or delete contacts

Beginning September 26, 2012 Information Technology will start to copy your content, “behind the scenes.” During this first stage of the migration to Google Apps the following content will be copied over to Google Apps:

• All Mail sent or received prior to September 1, 2012

• All Calendar Events dated prior to September 1, 2012

• All Contacts

While this "behind the scenes" migration is ongoing, please do not modify any of this GroupWise content.

• Please do NOT delete, archive, folder or resend these emails sent or received prior to September 22, 2012.

• Please do NOT edit, delete, or reschedule Calendar Events dated prior to September 22, 2012.

• Please do NOT edit or delete any existing GroupWise contacts.

Resolve any conflicting accounts with Google

In the first stage of the migration a Casper College Google Apps account is created at Google and we begin copying your GroupWise content. If you have a personal Google account using your @caspercollege.edu address as your login name, this account will become a conflicting account on January 3, 2012.

When you attempt to access this account beginning January 3, 2012, you will be prompted to resolve the conflict.

Personalize your Google Apps training plan

During the week of 1/17/2011, we will be offering in-person, on-site classroom training on a variety of topics related to Google Apps for Education. Develop a training plan appropriate to your needs. A full outline of classroom training opportunities is available on our Training Schedule.

The second stage of migration

January 13, 2012; 5:01 p.m - January 17, 2012; 8:59 a.m.

During this stage Information Technology will migrate your most recent email, calendar events and remaining contacts. Please note the following items during this second stage of migration:

Stop using GroupWise beginning 5:00 p.m. on January 13, 2012

Although you may continue to reference your GroupWise account to review Rules or retrieve large attachments, do NOT send mail or issue appointments from GroupWise after 5:00 p.m. on January 13, 2012, at which point all new mail will be directed to your Casper College Google Apps account.

If your mobile device is configured to receive Casper College email, you will no longer receive Casper College email on that device until you reconfigure your mobile device for your Google Apps account.

Please limit your use of Casper College email over the long weekend

If you can suspend use of your Casper College email through the weekend, please do so. If you need to access your Casper College email account during the weekend, you must begin using your Casper College Google Apps account, not GroupWise, while the final stage of migration is ongoing. To access your account, you may log in at gateway.caspercollege.edu.

Please note however that content will continue to migrate from GroupWise to your Google Apps account throughout the long weekend and you may not see all of your GroupWise content in your Casper College Google Apps account until Tuesday, January 17.

Please also note that the HelpDesk is not staffed over the holiday weekend, but support will be available at the start of the business day Tuesday morning. Additionally we are offering classroom training sessions through the week of January 17.

Google Day (migration is completed)

January 17, 2011; 9:00 a.m.

On the morning of January 17, you will start to use your new Casper College Google Apps for Education account.

GroupWise will continue to remain available for reference (to go back and retrieve email/attachments over 25 MB, review rules and signatures that you want to recreate in Google Mail, etc.), but do NOT send/receive calendar/mail appointments from GroupWise.

You may continue to access your GroupWise account until February 29. After that, all GroupWise accounts will be disabled.

Log in to your CAsper College Google Apps account

By 9:00 a.m. on the morning of January 17, 2012, your Casper College Google Apps account will be ready for use. Log in to your new Google Apps account at gateway.caspercollege.edu.

Attend Google Week training sessions (all week)

All Google Week training sessions are available on a walk-in basis. No registration is required. All classes will be held at 55 West 13th Street, Room 403. All classroom sessions are one hour in duration.
