Evaluation/Portfolio Folders
Each faculty member will have a portfolio folder for each evaluation year. This folder will be housed on ACC’s Google Drive. A link to this folder, along with directions for accessing it, will be sent to each faculty member.
Permissions/Access to Folders
Permissions are the means of securing the contents of the folders online. With the correct permission settings, access to the folders is limited to only those specifically named.
During the portfolio submission period, only the faculty member, the department head (currently Joe Brinkley), the evaluation committee head (currently Jim Heath), and the owner/manager of the folders (Hector Salas) will have access to the current year’s folder. During that time period permissions will be set as:
Owner – has all folder management permissions
Faculty member – has Can Edit permissions - can edit, add, and delete documents, but cannot delete folder or change permissions on the folder
Department head and evaluation chair – have Can View permission - can only view documents in the folder, but cannot edit, delete, add, or change permissions
Without being granted specific permissions, no one else can access, search for, or view these folders or their contents, not even other people in the ACC domain.
During the review process (after the submission deadline has passed) permissions will be changed as follows:
Evaluation committee members acting as reviewers for each specific category (syllabi, labs, exams, teaching philosophy, etc.) will be granted View Only permissions only for the specific category they are reviewing.
The evaluation committee head, and the department chair will continue to have View Only permissions.
The faculty member will have View Only permission. If they are wish to add documents after the deadline, they will need to contact Hector Salas to have the permissions changed.
Once the review process is over, the access to the folder to will be set as follows:
The reviewers will have their access to the folder removed completely
The evaluation committee head, and the department chair will continue to have View Only permissions.
The faculty member will have View Only permission.
