Follow up on any pending student work due

If you have granted an extension to any students for any work in the class, follow up with the student to ensure it is submitted in time for you to evaluate the work, provide feedback, and submit a grade.

Continue to respond to student email and questions

Students may have questions during the last week of class about when grades will be posted, among other dates. Many of these deadlines are posted on the ASU Academic Calendar.

If you are unsure how to respond to a student question about college or university resources or policies, please direct the student to the lead instructor.

Student questions about deadlines for dropping or withdrawing, what classes to take next, and other academic-related issues can be directed to the academic advising team for the program.

Respond to student requests for letters of recommendation

During the course, students may contact you with requests for academic and/or professional letters of recommendation. You are not obligated to provide letters of recommendation and in making your decision it is important to consider whether you have adequate knowledge of a student's academic strengths, personal character, or professional aspirations.

If you are uncomfortable writing a letter of recommendation or uncertain whether you would be able to offer the student a strong recommendation, you may choose to decline or discuss your position with the student and explain, given the importance of letters of recommendation to the student's academic or professional pursuits, that you understand if the student would like to make an alternate choice.

When writing letters of recommendation, you may find it useful to ask the student to provide a list of items (e.g., academic accomplishments, leadership qualities, academic or professional goals, etc.) they feel should be included in the letter. You do not have to include any of the items or examples the student suggests.

It is recommended that you use ASU or Teachers College letterhead and that you follow all instructions for submitting the letter, whether electronically or otherwise. If the student requests a copy of your letter, provide a PDF copy so that it cannot be edited. In addition, be sure to keep a copy for your records in the event the student requests that you modify the original letter for a different organization or institution.

Enter a zero for incomplete work

Student work that has not been submitted needs to be entered in the Gradebook as a zero. Otherwise, missing assignments will not be included in the calculations for a student's final grade. This results in an incorrect final grade.

Discuss any student requests for a grade of incomplete with the lead instructor

The grade of "I" (Incomplete) can only be given by an instructor when a student, who is doing otherwise acceptable work, is unable to complete a course (e.g., final exam or term paper) because of illness or other conditions beyond the student's control.

Each incomplete grade should have an approved incomplete request backing up the incomplete grade. A student's request for an incomplete must be approved by the lead instructor of the course and the relevant Division Director or designee. A co-instructor does not have the authority to approve a student's request for an incomplete.

Division of Educational Leadership and Innovation

  • Undergraduate class

Students taking undergraduate classes (Educational Studies and Educational Studies-Early Childhood Studies) should talk with their advisors and then start the process by completing the Incomplete Grade Request DocuSign webform. This form is also linked from the Student Forms and Policies page.

  • Masters-level class

Students taking masters classes should talk with their advisors, and advisors will start the Incomplete Grade Request DocuSign webform.

In both cases, DocuSign will route requests to the lead instructor, and then to the Division Director. If there are individual circumstances that need explanation, DocuSign allows comments when the form is routed to the lead instructor, initially, and at the final approval stage. Once all signatures are in place, the link to the copy will be distributed to the student, the lead instructor, and advising.

Division of Teacher Preparation

To request a grade of incomplete in a course, a student must first obtain approval from the lead instructor and submit the Incomplete Grade Request PDF form. The incomplete request must be sent to the Division Director for final approval. Approval of the request is at the discretion of the Division Director, who may modify the deadline or request additional details be on the form.

NOTE: The incomplete grade request sets down in writing what work is required to complete the course. A due date should be set reasonably soon (e.g., 1st or 15th of a month in the near future). Incomplete deadlines may never exceed one year from the date the incomplete grade was issued. Students who fail to complete the course by the agreed upon deadline will receive the grade specified in the incomplete request.

Submit final grades

Please contact your lead instructor to find out the date and process by which they would like your group's grades to be finalized and entered in the My ASU Grade Roster. Course final grades need to be posted via My ASU by the lead instructor by midnight on the date specified on the ASU Academic Calendar.

Grades must be submitted on time in order to be included in end-of-the-semester processing, which includes calculations for eAdvisor, Dean's List recognition, academic good standing, probation, ineligible status, and disqualification. Failure to submit grades in a timely manner may result in your students missing an opportunity for academic recognition, or being inappropriately placed on or off track, on probation, or disqualified.

If you have one or more students about whom you have serious concerns—whether or not their grades reflect this—please contact your lead instructor (who will contact the academic advisor) with any information that we should be aware of so that we can be alert to these students next semester.

Prior to submitting grades, refer to the grading scheme in the class syllabus to determine the letter grade equivalent for the percentage score received by each student in the course. Use the EN grade to indicate a student never participated in an academically-related activity for the duration of the course. The EU grade should be used to indicate that a student never officially withdrew from the course but failed to participate in course activities through the end of the course.

Each co-instructor is responsible for finalizing grades in the course management system for each student in his/her group. Follow any program-specific procedures or preferences communicated by the lead instructor concerning submitting final grades (i.e., whether entering grades in the My ASU Grade Roster manually by each co-instructor or via upload of a final grades spreadsheet by the lead instructor). If entering grades manually, be sure to "save" the grades you entered. You will NOT "post" the grades. When all grades have been entered and saved in My ASU, the lead instructor will review the Grade Roster and "post" the grades to PeopleSoft.

Send feedback about the class to the lead instructor

The lead instructor will hold a "Sunset Meeting" with the instructional design team to discuss and document any changes for future course offerings. If you have feedback related to the course, including suggestions for improving the course materials or the co-instructor role, please share them with the lead instructor so they can be incorporated.
