These guidelines are for organisers planning CycleKart events and for landowners or venues considering hosting an event. They cover safety, logistics, and event types to ensure a smooth, fun, and safe experience for everyone involved.
Do you have a paddock, orchard, gravel or farm tracks, forestry roads, or any interesting space that could host a CycleKart event?

Toilet facilities: Must have at least one working toilet available for attendees.
Parking: Sufficient space for tow vehicles, trailers, and spectators.
Defined zones: Clearly mark the following with cones, rope, flags or fencing:
Pits
Pit lane (including separate entrance and exit)
Track area
Spectator areas (kept separate from all driving zones)
Pit lane traffic calming: Optional 100 mm speed bumps at pit entrance and exit for safety.
Fire extinguishers: At least one working, accessible fire extinguisher must be available at the venue. Dry powder or foam extinguishers are preferred.
Safe spectator access: Ensure the public cannot enter active driving areas.
Clearly define the course with cones, flags, or plastic marker posts.
Include safe run-off areas where possible.
Avoid sharp corners immediately after long straights.
Avoid hard objects (trees, walls, poles) near fast sections. Use hay bales or similar padding if necessary.
Use rope or flags to outline the edge of the driving zone.
Pit lane: Defined with a separate entry and exit, and a clearly marked stopping zone.

Casual, low-speed events focused on showcasing builds.
Partially completed karts welcome.
Low-speed test/shakedown laps allowed in separate sessions.
🏁 Drivers Meeting (Circuit Events)
For completed CycleKarts only.
Fast-paced circuit or loop-based layouts.
Shakedown laps for test karts may be scheduled separately by the organiser.
📜 Edwardian Expeditions
Scenic and often longer-distance point-to-point driving events.
For Edwardian-style CycleKarts (generally pre-1915 inspired).
May involve gravel roads, 4x4 trails, or overnight stops.
Each course or new track setup requires its own briefing. Include:
Mandatory safety gear reminders:
Full-cover clothing (long sleeves and pants)
Full-face helmets
Neck brace
Gloves
Course overview: Speed event or driving trial?
Number of karts on track at once.
How pit lane entry and exit works (which side to stay on).
Hand signal reminders.
Head checks before merging onto track.
Helmet strap and gear check reminder.
All karts must be checked by an independent scrutineer before participating.
Use the official Scrutineering Checklist (insert link).
Faults or non-compliance must be noted in the vehicle logbook.
Partially completed karts may only drive if the event has a designated shakedown/test period.
No partially built CycleKarts allowed on track at the same time as fully finished karts.
Provide printed event schedules and course maps for drivers and spectators.
Prepare signage or direction flags.
Assign a track marshal or safety officer if needed.
Bring cones, rope, fencing, and high-visibility vests.
Carry a basic first aid kit and ensure mobile reception or a contact plan for emergencies.
Supply water and shade for participants.
Signal system: Some group members have a Lights or signal board system for controlling track activity—coordinate use as needed.
Track markers: Members also have plastic posts available for laying out the track—check in advance if you need help setting up.
