AVAILABILITY
The PTO plan is available for all full-time exempt and full-time non-exempt employees. PTO accrues based on an employee's length of service and is earned gradually throughout the year during continuous employment.
Paid Time Off (PTO) Accrual Chart Based on Years of Service
CARRYOVER
You can carry over up to 40 hours of your unused PTO hours to the next year.
The maximum number of carryover hours you may accumulate is 40. For example, on January 1, 2025, you have 10 hours left that you carried over from 2023; you will only be able to carry over 30 hours from 2024.
Hours beyond the 40-hour carryover limit will be transferred to an Extended Leave Bank. Access to these hours is reserved for approved FMLA or STD/LTD cases with required documentation for serious medical conditions.
ADVANCED USAGE or BORROWING PTO
Employees can request and use PTO even if they have not earned enough PTO hours yet.
The maximum amount of advanced PTO that can be borrowed is limited to 80 hours.
If an employee leaves the organization with an outstanding advanced PTO balance (negative PTO balance), the remaining amount will be deducted from their final paycheck. In cases where the final paycheck is insufficient to cover the advanced PTO debt, the employee will be responsible for repaying the balance.
ADDITIONAL LEAVE BENEFITS
PAID FAMILY MEDICAL LEAVE ACT (PFMLA)
Eligibility:
Full-time employees who have completed 12 months of service and have worked a minimum of 1,250 hours during the 12-month period immediately preceding the leave request are eligible for the full benefits outlined in this policy.
Full-time employees who have been employed for at least 6 months but do not yet meet the 12-month service requirement are eligible for a separate 6 weeks of paid leave under this policy.
Duration:
Eligible employees (12 months of service) are entitled to up to 12 weeks of unpaid FMLA leave during a 12-month period for qualifying events. The first 6 weeks of PFMLA leave will be paid.
Employees with at least 6 months of service but less than 12 months are eligible for 6 weeks of paid leave for qualifying events under this policy.
Compensation: Full pay and regular benefits. Employees pay health insurance premiums during their leave.
BEREAVEMENT LEAVE
Full-time employees are eligible for a 1-week leave of absence following the death of a close family member.
JURY DUTY
Full-time employees serving as jurors will receive their regular pay, and there will be no reduction in their compensation for the duration of their jury service.
MILITARY LEAVE
Exempt employees working part of a workweek during military service will receive prorated normal salaries.
If an exempt employee doesn't work at all in a workweek due to military leave, they won't receive a salary for that week.
Exempt employees have the option to use accrued vacation during their military leave.
PAID HOLIDAYS
Full-time eligible employees are given a day off with pay for the following ten holidays each year:

Birthday of Martin Luther King, Jr. (Third Monday in January)
Memorial Day (Last Monday in May)
Juneteenth National Independence Day (June 19)
Independence Day (July 4)
Labor Day (First Monday in September)
Thanksgiving Day (Fourth Thursday in November)
Day After Thanksgiving (Fourth Friday in November)
Christmas Eve (December 24)
Christmas Day (December 2)
Working on Holidays
Exempt employees who are required to work on a paid holiday will receive 1 ½ days off at a later date, with the approval of their supervisor.
Non-exempt employees (full-time and part-time) are eligible for holiday pay at the rate of time and a half for hours worked on designated holidays.
