To help address concerns thoughtfully and support all families fairly, parents are asked to follow the communication steps below before involving leadership. This process helps ensure consistency and allows our volunteer leaders to respond effectively while respecting their time and role.
General Expectations for Communication
Parents should never confront an RB coach before, during, or immediately after a practice or game.
A 48-hour cooling-off period applies to all game-related concerns.
Communication must follow the outlined protocols below to ensure timely and thoughtful responses.
When protocols are followed, West Side Travel leadership will respond within 24–48 hours.
Concern: Schedules, Practices, Travel Requirements, Important Dates, or Logistics
Read the WRAP announcements.
Review recent emails from your Team Manager.
Contact your Team Manager for clarification.
If the team manager cannot answer your question, they will reach out to leadership and follow up accordingly.

Concern: Playing Time
Read West Side’s Playing Time Policies.
Observe playing time after two full games.
Wait 48 hours after the most recent game.

Allow three games before forming conclusions.

Concern: Behavior Issue or Behavior Management

Concern: Non-Routine Incidents Involving Injury, Safety, Legal Risk
An Incident Report Form (LINK HERE) should be completed only when a serious or non-routine incident occurs that involves player safety, legal risk, or escalation beyond normal game management.

Legal or Emergency Escalation
Property or Facility Damage
When an Incident Report Is NOT Required: To avoid unnecessary reporting, an Incident Report should NOT be filed for:
Minor bumps, scrapes, or soreness handled with normal first aid
Routine fouls, rule violations, or referee judgment calls
Emotional reactions (crying, frustration) that resolve quickly
Playing time, position, or coaching decisions
Minor conduct issues managed appropriately by the coach or referee
Complete Incident Report and then notify & submit to safety@wssl.org and traveldirector@wssl.org
Important Parent Perspective
No two players develop the same way.
Parents should never compare their child to another player.
Allow coaches to do their job without micromanaging every aspect.
Give players the independence that sets them up to succeed and cope effectively.
