Responsible communication, advertisement & organization of your club is essential to effectively share the mission, values, & message of Y4H.
Below you will find suggestions & ideas on how to navigate this aspect of leading your club.
We recommend using an app or another method of messaging to ensure effective communication among you & your club members!
The Remind app is great for clubs & organizations.
As leaders, create a customized code for your chapter, where all members can easily join through a cell phone, and you will be able to send messages to the group as a whole or even to individual members. This is a great way to send out meeting reminders, event updates, etc.
GroupMe is also a great option.
Usually each institution has a popular method of communication so you choose what works for you!
Although Y4H has its own social media pages, creating a page specifically for your club helps to keep in touch with members, show off your club, reach new people, advertise & spread awareness.
Instagram usually works best but be creative! All social media's can be used productively for Y4H. Be sure to let your coach know which social media platforms your club is using!
Suggestions for socials:
use a LinkTree and put it in your bio to organize all links that are helpful to provide: i.e. the Y4A website, OEW website, link to a current fundraiser event, link to merch, link to a chapter interest form, etc.
You can also have someone specifically in charge of running social media.
Having someone responsible for taking photos/videos during meetings could also helpful for advancing your clubs socials. Also, please send any photos regularly to your chapter coach and be sure to have your club sign media releases!
Use "Highlights" & consistently post on your story to make your page more fun & engaging.
To grow your following, make sure you follow as many people from your school or institution as you can, follow other orgs in your school or community, as well as friends, family, etc.
What Should I Post?
You can easily use Canva to create some instagram posts or fliers
Make posts about what Y4H is, what experiences it can offer & "Why join Y4H?" You can be short & sweet and make multiple posts for different occasions when you want to spice up your page!
Get statistics and/or facts from the curriculum or from a trusted anti-human trafficking website & and design some posts with this information. For example, you can get creative and do a "Fact Friday" weekly post.
Repost from Youth for Hope and Fields of Hope instagrams (make sure you’re following them too!). You can also repost from other popular anti-human trafficking organizations.
Post your leadership team & do "introduction" posts on your social media.
And of course, whenever you have events or fundraisers coming up, posts these pictures & advertisement fliers. Even if your club isn't directly in charge, it is always helpful to support other clubs or Y4H in general.
Remember to tag Y4H @y4h_clubs in everything you post.
Although flexibility and creativity are welcome, remember you are still representing Y4H so be mindful of what you post & be sure to use Y4H logos & terminology when appropriate! Refer to the Y4A leader Guide & Constitution. When in doubt, ask :)
When you're just getting started or even if you're a few years in, it is always helpful to create flyers that advertise the club for upcoming events & opportunities.
Be sure to reference wearefieldsofhope.org/youth for correct terminology, statistics & for the correct Y4H logo's to include in your advertisements. If you don't have these, your Y4H coach can send them to you.
Where do I advertise?
Whoever your audience is for your club is where you want to advertise.
If you're in a school, keep an eye out for club/organization fair's, open house, or anything else that can help advertise Y4H.
Again, social media nowadays is an essential method of advertisement.
What do I use?
Y4H Flyer Templates: We have created various flyer templates: club/interest meeting, moving showing, leadership advertisement, FOH drive, Journey of Hope products, etc. With your own Canva account, you can access these templates & edit them for your club.

Remember, these are optional, & you can always design your own or just use the templates as a guide.
Club merch is not only aesthetically pleasing, but also provides a sense of unity & awareness.
Each club is also encouraged to be creative & create their own merch. You can use any design as long as the Y4H name or logo is present and you have final approval from your club coach and the Y4H director.
Feel free to allow your merch to go beyond club members. By making these shirts, hoodies, crewnecks, etc. available to whoever, you are allowing your message to go much farther. Not only are you advertising your club, but also spreading awareness against human trafficking!
The Y4H team can help you get started & explore how to get this done if you are unsure where to start.
Although it is not completely necessary, it is helpful to have money and a budget for your club.
When starting your chapter Y4H will provide a "SWAG bag" for you and your chapter with some helpful materials, but you will likely want to have more resources to expand your outreach and club opportunities (and also, to have fun!)
Every club is different so here are a variety of options for how to financially support your club:
Your institution provides the funds: some schools/institutions give their clubs a stipend/budget for each year.
Find a sponsor (or multiple!): Often times there are so many people who are willing to give to a cause like Y4H, especially if students are leading! Usually it can be a community member, friend or family member that you know personally who is willing. Your Y4H coach can help you with exploring ways to find a sponsor.
Fundraise: Whenever events/fundraisers are done, some clubs have taken a percentage of the proceeds for their specific club budget. Your advisor & coach can help you decide the appropriate amounts. Example: selling t-shirts, selling donuts/chocolate bars, events, etc.
Club dues: Have each member provide a club due (around $5-$10) when joining the chapter. Talk with your adivsor to see if this option would be suitable for your club.
Your club does not have to be limited to just one or any of these options! You can have all four or a completely different option. We never want money to be a preventing factor for you to lead your club well: your Y4H coach will help you decide what is best for your club & help guide you.
If possible, be open to putting together a team of those in different grade levels, which can provide different perspectives, but also better ensure that the club can continue going after the seniors have graduated.
If officers are graduating, how you proceed to "pass the torch," is up to you, but many will host officer elections for their members to vote, or even make applications for those interested in leadership.
It's important that all executive team members communicate regularly & keep the advisor and coach updated on all that is going on.
You will want to meet regularly with officers (usually depending on how often the club meets), as well as your advisor. You may also want to run through the modules together before an upcoming meeting so everyone is prepared.
To avoid conflict or confusion, it usually helps to have clear roles & responsibilities for everyone in leadership.

As a president, it is helpful to know the members of your club: the # of members, their names, the demographic (grade, gender, etc.), their contact information, etc.
A great way to keep track of the members in your chapter is to have them fill out some type of short form when they join (usually at the beginning of the year). You can have them printed or create a google form (which is typically easier to keep track of).
In this form you may include: name, age or grade, email and/or phone number, and maybe a question or two asking why they are interested in joining, what they would like to see done in the chapter, & any of their ideas.
You will also be asked to keep track of how many people show up to every meeting (and report it through the Y4H Monthly Club Check-In Form), so it could be helpful to count or even take attendance each meeting.
Keep everything in one place: With planning events, you will most likely have to create proposals or forms, and so keeping a virtual folder of all Y4H materials on your computer or phone is a great way to stay organized-- especially to pass it along after you graduate. Also be sure to keep all of your passwords (to your club's social media or email for example) in one place in a document.
Create a separate email: You can create an email just for your club (for example, when selling merch, some clubs have not felt comfortable putting their personal email out publicly).
Take notes during meetings: Just like most meetings, be sure to have one of the officers take notes throughout each meeting (ideas, feedback, questions, number of people in attendance, etc)
Plan meetings ahead of time: This is helpful for staying organized & committed. Many clubs will want to share upcoming meeting dates or other known event dates at the beginning of the year, so people can plan in their calendars to be there.
Stay in contact with your advisor & coach: Don't hesitate to communicate any ideas, concerns or questions. They want to hear from you... your successes, challenges, ideas, feedback, and results are valuable to improving Y4H & collaborating together! :)
