We plan to host meetings for areas to discuss event planning as we did last year. More info will be posted on those meeting soon.
Schedules are due April 7, 2024. They will then be reviewed for conflicts and sent back out to you for review before being posted.
At this time, Their Highnesses are planning for court at 5PM on Friday and Saturday.
We will have an All Volunteer Touch base each morning with the Event Stewards and Strawboss. This is time to review changes, and questions for each day.
All Staff Feed on Wednesday Evening! Theme is Taco Bar and Slushies!!
We encourage coordinators to pre register to make your gate process easier.
Schedule and Activity Guidelines.
Schedule are due April 7. You can email a document or save to the WW Coordinator Schedules folder on the WW event plan drive. you all have access to the folder. You'll be able to see the schedules each of you submit.
We are asking for no activities prior to Thursday afternoon/evening. Thursday night activities are OK.
On Friday and Saturday we ask that activities be planned between 10AM and 4PM. It's OK to have inspections and authorizations starting at 9AM.
The reason for the 10AM time is to allow for event staff to perform daily set up and allow for meetings, breakfasts, etc. If you feel you'd like to start before 9AM please talk to the event stewards.
With the decrease in volunteers, we are planning no formal activities Thursday before lunch. This will give additional time for set up of event activities and personal camps.
Please plan to have a set up team and recruit volunteers for your area. The event will help with this and will have a volunteer form.
Strawboss will deliver supplies to your area and will provide guidance on how to set up shade, benches, tables, etc
We'd prefer activity coordinators be on site Wednesday Morning. If you're not able to be on site until Wednesday evening or Thursday morning, then event staff will need a clear plan for where your space is set up and needed resources. Please have another person or team on site to set up your area.
You'll coordinate with the Resources for person for event supplies for your area.
General Plan
Sunday is for personal camp setup. Mainly Strawboss but any activity coordinator is welcome to come on Sunday and drop stuff off or set up your personal area.
Monday Event supplies are moved to the site from the storage unit.
Tuesday Stuff gets put out around site.
Wednesday
Activity area set up starts and finishes Thursday morning.
Merchants will be able to arrive and set up Wednesday after lunch.
Other Volunteers will be able to arrive and set up their personal encampments
Gate will be available on Wednesday afternoon.
Tear down
We’ve negotiated with the Fair Grounds to finish packing on Monday :)
Heat Injuries and Prevention
One of the surpising feedbacks from last year was that people didn't know the signs of heat injuires, how to prevent, and what actions to take. We want to do better on this topic!
I'm a registered nurse, Trauma certified with emergency department experience. I've created a class that I've taught a couple of times. I'm going to be offering this class via Zoom a few times prior to WW.
