1. First, make sure you fill out a new 2026 Volunteer Application. You should receive an email immediately letting you know we've received your application.
While the volunteer application will continue to be open until we fill all volunteer roles (at which point people can join a wait-list), team and shift preference is given to people who apply sooner
2. Starting by early November - Confirmation emails with team assignments will start to be sent out. Please respond to that email to confirm your assignment!
3. Starting in December, you'll receive another email with instructions on how your shifts will be scheduled. *For -most- teams* this email will have a link for you to be able to request individual shifts.
(Your requests must be approved by the volunteer coordinator, but as long as it aligns with the notes below, we'll do our best to align your schedule with your requested shifts)
4. From January to February, we'll be having further volunteer meetings (dates to be determined) both with individual teams (production, registration/office, etc.) to give role directions, as well as one with all volunteers to give final instructions prior to arriving on site.
At which point, we'll be only a few weeks from the big weekend!!!
September 6th - Volunteer application opens
October 5th, 5:00 PM - Volunteer Interest meeting/orientation
November 2025 - Team confirmations sent out
December 2025 - Shift request emails sent out
January 2026 - Team-specific meetings held (dates, teams TBD)
Early February 2026 - All-volunteer pre-festival meeting
February 17th-18th - Festival Load-in days
February 19th - 22nd - WINTERGRASS 2026!
February 22nd - 23rd - Festival load-out days
March/April 2026 (TBD) - post-festival surveys go out, Volunteer Appreciation Party!
For the majority of teams with self-requested shifts - as long as the shifts are available, we will do our best to make sure your assigned shifts are as close to your requested schedule as possible. A few things to keep in mind however,
1. We ask all volunteers commit to work the hours they have selected to work in their volunteer application (4-6, 7-10, or 11-14 depending on the tier they chose), and once those shifts are assigned, require those shifts to be fulfilled.
2. Some volunteer teams have high-demand for late night, early morning, or Saturday shifts that are especially important to be filled. We ask that unless there is a valid excuse (medical/accessibility needs) that everyone on those teams selects or is available to work at least one of those high-demand shifts so that those hours don't all fall on a few people.
Due to the nature of the work, some jobs and teams require people be mannually scheduled. If you are on the production backline/lighting, artist ambassador, house manager, or hospitality - kitchen teams, your schedule will be created directly with your team Coordinator.
