The construction crew will work to provide construction support for pre-festival and post-festival construction activities. Setup will be on Tuesday and Wednesday, teardown will be on Sunday afternoon and Monday morning. Heavy lifting is involved, gloves are a really good idea. If you have a truck, please let us know!
Team Coordinator - Tom Lane (Cell phone communication is necessary for communication with Tom)
Artist Ambassadors work directly with several bands and serve as those bands’ direct link to Wintergrass. Artist Ambassadors need to be:
- Experienced enough with the inner workings of the festival to answer any question a band member might have about their time at the festival. If the Ambassador isn’t sure of the correct answer, they need to know who to contact to get the answer.
- Tech savvy and able to respond to texts in a timely manner during the festival
- Able to regularly lift up to 50 pounds to aid with carrying instruments and other items
THIS IS A SMALL TEAM OF EXPERIENCED VOLUNTEERS AND APPLICANTS ARE BY-AND-LARGE PRE-SELECTED BY THE TEAM COORDINATOR
Duties cover a wide spectrum of whatever is needed by the band. This can include for example being asked to help move instruments between shows, copy handouts before a workshop, print out setlists or chord charts, track down late band members, sell merchandise, etc.
The Artist Ambassadors schedules are not concrete shifts, but will depend on each band schedule that the Ambassador is assigned to. The Ambassador will be “working” the whole time one of their bands is onstage, but they can also get a call for assistance any time during the festival.
Team Coordinator - Myles Lundy
Education volunteers assist with the education programs in a variety of aspects, whether that's registration, accounting, general wrangling, etc. Experience working with children is a must, and successful applicants often have experience working in/around education-related fields.
No late shifts required, but must be a full-weekend volunteer unless an exception is made in advance in writing by the team coordinator.
Team Coordinators - Tom "Jamz Master P" Petersen, Sandra Buchner, Kat Bula, and Dr. Christopher Hanson
Festival Office volunteers are primarily problem solvers. They will be solving individual ticketing issues, checking in festival staff and attendees as needed, helping at the Registration table during busy hours, printing materials as needed, supporting the Volunteer Coordinator, etc. Must be unflappable and pleasant at all times, and technologically competent. Ability to be simultaneously firm and polite is a plus.
Team Coordinator - Cecil (Cecil)
The Hospitality crew is REQUIRED to have a valid food handler’s permit. We need some people for meal prep, and some people for meal & water delivery. Meals are delivered to the Production staff and volunteers who are working long shifts which require them to miss meal times.
Team Coordinator - Terri Jones
Volunteer Lounge volunteers are in charge of maintaining the Volunteer Lounge. Open hours are 9am-6pm. Volunteers will monitor the entrance and check for artist/volunteer/patron wristbands, as well as keep things in the Lounge organized.
The Volunteer Lounge is located in the Evergreen hallway, past the entrance to the Evergreen Ballroom. It’s a little removed from the rest of the festival staff - due to this, if no one shows up to relieve you for their shift, please reach out to the Volunteer Coordinator to assist with coverage.
Team Coordinator - Barb Ross
The Patron lounge requires four positions to be staffed by experienced and outgoing venue volunteers. There will be two stations on either end of a reserved seating area inside the Grand Ballroom in front of the soundboard, one station at the entrance to the Patron Lounge in the far hallway past the main Grand entrance, and one station at a small sectioned off area of the Grand which can be accessed via the Patron Lounge.
Team Coordinator - Jen Kunitsugu
Instrument check is in charge of securing attendee's bags while at the festival. Ability to lift up to 50 pounds and follow a ticket-matching system required. This team also is one of the latest running at the festival, with some shifts going to 2:00 AM. Volunteers must be willing to take at least one LATE shift on this team if they are a full-weekend volunteer.
Team Coordinator - Terry Dickerson
The Stage Manager is responsible for ensuring that the shows run smoothly and on time and that performers have what they need to give their best performance. Must be strong and confident and able to inspire the willing cooperation of others.
The Backstage Manager works under the direction of the Stage Manager to assist artists prior to and after their performances. You will also assist the sound crew when necessary, maintain a clean and orderly backstage area, and work with the Stage Manager to keep things on time. Must be quiet, congenial, organized, and very resourceful.
Production Team Coordinator - Gaylan Adair
Lighting techs control the light boards at the festival stages. Prior stage lighting experience or education are welcome but not required - please note, there will be training before your first shift. You have the best seat in the house, but you cannot leave the light board unattended (meals will be provided and delivered if necessary). You must pay attention and be aware of what is happening on stage at all times.
Work under the direction of the Assistant Production Manager. Duties include:
Move and deliver musical gear from one stage to another
Load and unload props and materials on and off the stage (guitar Stands, Amps, etc.).
Assemble and disassemble parts as needed.
Move and rearrange furniture.
Unload and set up road cases.
Ensure props (if any) are affixed properly and stage is safe
Clean up stage and backstage area after performance.
Attend the raffle table, sell tickets and represent Wintergrass with the public! Comfort talking to people, sitting in a loud environment, and handling cash required.
Team Coordinator - Janet Brightly
Registration volunteers are responsible for checking in festival attendees and festival volunteers. Your primary job is to welcome the festival guests and make this process as painless as possible. If you have experience with cash registers and credit card
processing please let us know!
Team Coordinator - Roxi Gary
House Managers are assigned to a specific venue, and will manage the venue volunteers for that space. You will meet with your crew at the beginning of their shift outside the venue and assign them to roles (usher, door crew, etc). Needs to have good communication problem solving. Will work closely with the Venue Coordinator to fill no-show shifts, understaffed shifts, etc.
Venue volunteers work with the House Managers to facilitate the smooth operation of concerts at Wintergrass. Venue volunteers report to the House Managers outside the concert venue for assignment at the beginning of each shift.
Door Crews
Ensure that only those with the proper wristband are admitted to the venues, workshops, hospitality & backstage.
Ushers
Provide attendees with an orderly venue by assisting participants to find and fill vacant seats. Keep aisles clear of bags. Quiet disturbing behavior and answering questions.
Hyatt Grand Back Hallway Monitor
Prevent festival attendees from access to the service hallway and protect the merchandise and Green Room (allow performers, stage and hotel staff).
Venue Team Coordinator - Ray Latham
Monitor the entrance of workshops, assist the workshop instructor with anything they need, checking wristbands, directing people as needed. Shift will begin before the workshop starts.
