Meet Official Training

Mark your calendars: Back by popular demand, our NSL Rules Interpreter and Wildwood parent, Austin Parsons, will be hosting an Officials Certification Clinic for Stroke & Turn, Starters, and Referees for all NSL teams on Sunday, May 19th at 2:00 at Ensworth.  Bring your computer/tablet and go home fully certified to officiate a NSL meet.

Volunteer Roles

The Brentwood Swim and Tennis Swim Team relies on volunteers to help our program to continue to run smoothly. In keeping with what other swim clubs of our size do, each swim family is REQUIRED to volunteer for 2 swim meet sessions. Swim meets are volunteer run, from summer swim meets to the Olympic trials, so start making plans to be available during your swimmer’s meets! Whether this is your first summer or your fifth, we’ve got all sorts of different job options and can talk you through your role. 

Additionally, all families participating in City Meet are required to fill one City Meet volunteer job.

The NSL will fine our team if we fail to supply all our required volunteers.

Timers -- These volunteers stand in groups of two at the end of each lane and use an iPhone to time the swimmers. The check-in time for this job is at least 30 minutes prior to the start of the meet. This job finishes after the final heat of the meet is complete. Timers use their own device and are responsible for downloading the Swimmingly app prior to the meet (light blue icon). Timers must attend a short pre-meet timers briefing about 20 minutes prior to the start of each meet.

Head Timer -- The Head Timer is responsible assisting volunteer timers with Swimmingly setup before the timers meeting. At home meets, he/she will be responsible for attending the timers meeting prior to the beginning of home meets. The Head Timer may be required to serve as a back-up timer. The check-in time for this job is at least 45 minutes prior to the start of the meet. This job finishes after the final heat of the meet is complete and all IPhones have been collected and stored.

Heat Winner Ribbons -- This person stands at the finish and hands out Heat Winner ribbons to swimmers. *Home meet only

Clerk of Course -- Makes sure all swimmers are lined up and ready to swim by lining up the swimmers by lane number and heat number using the Heat Sheets.  Once the swimmers are in the correct order they escort the swimmers to the lanes and check again to ensure they are still in the correct heat/lane order.

Hospitality --  Sets up food prior to meet. Distributes food to volunteers and coaches (Wildwood provides food). *Home meet only

Scorekeeper -- Manages the timing system on the club IPad.  Sits with the starter and referee.  Before each meet our coaching staff does all of the meet entries and seeds the meet. Once the meet begins the Scorekeeper approves the times into the computer system, receives DQs and other information, and updates the scoring system as needed. If you are interested in this position you can train during a meet. 

Home Meet Setup Captain -- (Night before home meet) Coordinates and oversees setup for home meets the evening before the meet, including tents, benches, pool furniture, parking, etc. *Home meet only

Social Hosts-- Helps organize social events throughout season including Ice Cream Social, Fun Fridays and Age Group Socials.

City Meet Coordinator -- Helps coordinate volunteers, tent set up, collect awards won at City Meet. This volunteer position satisfies all your volunteer requirements for the season.

Various City Meet Roles -- Each team is required to supply a variety of volunteers across each volunteer session. Each family participating in City Meet is expected to fill one volunteer job during the meet. These specific positions will be made available at the beginning of each season.

Referee -- *MUST COMPLETE ONLINE TRAINING* The referee is the person in charge of the meet. He or she is the head official on duty. *Home meet only.  Online training found here: Online Training Course and Test 

Starter --  *MUST COMPLETE ONLINE TRAINING*  The starter is the official that announces and starts each race. They operate the starting device to begin each race.  They also determine false starts and act as a turn judge. He or she has been trained in the proper starting procedures and will control the start of each event. The starter will only be needed at home meets. They must attend the mandatory class held by the Naperville Swim Conference in the spring. The check-in time for this job is at least 45 minutes prior to the start of the meet. This job finishes after the final heat of the meet is complete and the starting unit is stored. *Home meet only Online Training Course and Test 

Assistant Starter -- The assistant starter will stand with the starter and meet ref and advance the heats on the swimmingly app. Communicates primarily with the starter. Training available. This is an excellent apprentice position for anyone considering being a meet starter or ref. *Home meet only Online Training Course and Test 

Stroke and Turn Judge --  *MUST COMPLETE ONLINE TRAINING*  The judge has been trained to recognize legal and illegal motions for each stroke. He or she is also trained to recognize legal and illegal finishes and relay takeoffs. They are responsible for observing the athletes and determining disqualification during the swim. They must attend the mandatory class held by the Nashville Swim League. The check-in time for this job is at least 30 minutes prior to the start of the meet. This job finishes after the final heat of the meet is complete. Officials should listen for the announcer to announce where the pre-meet “officials meeting” will be held. Banquet Hosts--  A banquet host will help prep for the banquet on the day of banquet and before the banquet. They will assist in ordering dinners from the grill and communciating with grill about orders. Banquet hosts will assist with award pick up and supplies purchasing with the club credit card. They will assist with banquet set up on the day of the banquet (setting up table cloths, awards etc). This position satisfies two volunteer slots.
