Evaluating Exhibits
PLEASE READ INSTRUCTIONS:
We thank you for volunteering to judge this "virtual" online Tr-County Science & Technology Fair to be held from April 8, 8:00 AM to April 15, 6:00 PM EDT.
Now that you have selected your exhibits, you should be ready to start evaluating them. A couple of pointers before you begin your participation in our "virtual" fair:
Have you reviewed the Judging Rubric?
Have you received the information provided by each of the exhibits that you selected, including video presentations and documentation?
Did you set aside sufficient time between April 8, 8:00 AM to April 15, 6:00 PM EDT to review and evaluate the content from each of the exhibits that you selected?
By confirming your participation as a judge, you agree to respect the privacy of the students and confidentiality of the content involved! Do not disclose the content of the materials that you were provided to anyone. The information that you receive from each exhibit is strictly for your observation and assessment only. We ask that you preserve an objective, unbiased setting by conducting your evaluations of the content privately.
Please delete any downloaded materials after your evaluation scores of your assigned exhibits are submitted, and PLEASE do not post any online comments, “likes”, or other designations on YouTube or other social media sites pertaining to the exhibit!
Your Exhibit Evaluation Form (accessed from green button at the bottom of the page) will be pre-populated with your (up to 10) choices from the Exhibit Selection Form. If you do NOT select exhibits online by April 5, 6:00 PM EDT from the Exhibit Selection Form, you may still be assigned with any remaining unassigned exhibits to evaluate on the Exhibit Evaluation Form.
All your scores entered on the Exhibit Evaluation Form are FINAL after April 15, 6:00 PM EDT. Please do not attempt to use this form more than once or edit your scores after the deadline-- only your first set of scores will count! If you uncovered a mistake after submitting your scores, PLEASE contact the Judges' Committee as soon as possible at Judges@DiscoveryCtr.org or 845-621-1260 x-402.
Exhibit Evaluation Form Guidelines
We recommend that you visit the Exhibit Evaluation Form before you start judging to print a blank form using the "Print" button at the bottom of the form. (An illustration of the form buttons is shown below and samples of the printed Exhibit Evaluation Form from a previous year for Elementary, Middle, and High School exhibits are shown in the adjacent charts. The content has been redacted to preserve the confidentiality of the information provided by the students, and the questions shown may or may not be the same as those on your form.
As shown in the adjacent examples, a printout will list your specific exhibits and allow you to record your notes and interim scores during your evaluations. Please note that printing a blank ballot with the information from your assigned exhibits may result in upwards of 60 pages! When your evaluations are done, you can then revisit the Exhibit Evaluation Form to transcribe all of your scores online from your written notes.
You also have the option to save your entries online along the way using the "Save" button at the bottom of the Exhibit Evaluation Form, which is illustrated above. You will receive a link by email to allow you to continue editing your entries after your first save. Please use this link to periodically revisit the form to make further changes or additions to your entries. However, you MUST submit your final scores by clicking the "Submit" button before April 15, 6:00 PM EDT after which no more changes to your entries can be made.
If you get interrupted while entering scores before clicking "Submit," please make sure to click the "Save" button before you exit the Exhibit Evaluation Form; otherwise, your scores will be lost, and you will need to re-enter them in a new session!
Do NOT click on the "Submit" button until you have completed all your evaluations and are prepared to submit your final scores.
If your plans suddenly change, i.e., you are no longer able to evaluate your selected exhibits between April 8, 8:00 AM to April 15, 6:00 PM EDT. PLEASE contact the Judges' Committee as soon as possible at Judges@DiscoveryCtr.org or 845-621-1260 x-402. We will need sufficient lead time to release and reassign your selected exhibits to other judges to ensure that all our results are compiled by April 15, 6:00 PM.

Note: this form will be available for use starting Monday morning, April 8, 8:00 AM and will be deactivated Monday evening, April 15, 6:00 PM EDT!!
You must use the form password that you received in your orientation email to access the Exhibit Evaluation Form. Once in the form, you must use your PRIMARY email address, which you have designated when you confirmed your attendance as a judge in the Confirmation form, to allow you to make your selections.
Please note: The form password and your primary email address that you enter in the form are case sensitive -- they must be entered in all lower case!
The Exhibit Evaluation Form will limit your scoring to the exhibits that you selected previously from the Exhibit Selection Form (or exhibits that we assigned to you because you did not select exhibits to judge beforehand)
After clicking the "Submit" button, you will receive an immediate acknowledgement of your exhibit scores and a later email confirming your scores.
