To begin the discussion for our team reflection, the Summit Society completed a survey to assess where we are as a team, what we are doing well, and what needs to be improved.
Survey Results
After taking this survey, we met as a group to further discuss what we think we are doing well, what improvements need to be made, if changes need to be made to our charter, as well as a plan for how we will implement these changes.
We are turning assignment in on time, working to ensure deadlines are met and have a good understanding of the expectations for each task that is due.
Time Management: We have left off some of our assignments to the last minute, leading to last-minute scrambles to get everyone's work compiled and turned in.
Communication: There has been a disconnect with our team because of different schedules, communication methods, and activity levels at different intervals. This has led to confusion for the timeframe in which we are working on assignments as a team, and members not being present for meetings.
Team Roles and Responsibilities: Roles were established at the beginning of the semester. This was done at random, not taking into account individual's skills and not knowing the full details of the projects we would be doing. As a team, we have largely forgotten our roles and just done whatever was available, leading to work not being done in the most effective manner.
We found that our team charter was not working very well with the tasks and assignments that we have been collaborating on. As such, we decided to update our team charter as follows to allow for better collaboration, teamwork, and efficiency:
Project Manager- Cooper
Client Relations Manager- Jackson
Designer- Abby
Communication Specialist- Sam
Quality Control Specialists- Luke and Nic
Cooper will remain as our project manager, making sure everybody understands the assignments and their roles. Jackson has switched roles and will now act as our client relations manager as he has taken lead in communicating and working with "Redmond" for our final project. Abby will continue to act as our designer, making sure our site looks professional and flows well. Sam's role has changed to our communications specialist and will help us stay on task better by sending out weekly reminders about upcoming assignments. Lastly, Luke and Nic will now act as our quality control specialists, making sure our work is professional and high quality.
Our first order of business to improve our team efficiency is to ensure that every person has Microsoft Teams downloaded on their phones and the notifications on. This way we can keep up with each other and improve our communication.
In addition, we will send a reminder message to the group chat at the beginning of the week to prepare for our next assignment. If we keep on top of each assignment and establish responsibilities for each team member, then there will be confusion and we can be more efficient in writing and submitting our work. Sam has taken on the role of our group communication coordinator so he will send these reminders every week.
One of our previous issues with our team charter was that we left assignments to the last minute so now we will turn in work as soon as possible. Ideally, this will be the night before or morning of the due date. If we keep up with this routine, we will not have to wait for one team member to finish their part in the last possible hours.
The final improvement we have decided to enforce is proofreading everything before turning it in to ensure no spelling or grammar errors. This will also help us look over our work and ensure everything flows smoothly, the format is consistent, and it looks cohesive.
