WHERE WILL I WORK?
Our team works from the Career Corner in the Highland Campus ACCelerator, where students gather to take classes, access technology, meet with Academic Advisors, Learning Lab tutors, and Career, Workforce Trainers.
We have two designated pods in the west corner of the ACCelerator, along with a coffee/tea station, a snack cabinet, and supply storage. Desktops and laptops are available, along with headphones, teaching accessories, and office supplies.
WHAT SHOULD I WEAR?
Model professionalism by dressing in business casual attire when teaching and coaching.
T-shirts with Career Services logos will be provided to all staff, and are appropriate for outreach and marketing events in the community.
The ACCelerator can get cold! Bring layers, and request space heaters from ACCelerator staff as needed.
WHEN SHOULD I BE THERE?
Classes will be offered to Hourly Trainers only in cases of need, and availability and will determine the semester work schedule.
Trainers will be scheduled two semesters prior in order for the Manager to develop an appropriate course schedule. All requests for time off/vacation should happen when schedule requests are submitted to the Manager. Week long requests will not be approved when cohorts are running.
Please be on time if you have a meeting, a coaching appointment, or a training/workshop/class/class visit scheduled.
WHAT IF I NEED TO CHANGE MY SCHEDULE OR TAKE TIME OFF?
If you are sick or have an emergency, contact your Manager as soon as you can. Do not worry about rescheduling coaching or finding a sub for your class. We've got you! Rest and recover, and try not to check your emails. Staff who miss 5 or more days of work must fill out a Family Medical Leave Act application through HR.
If you have been exposed to Covid or have tested positive, you will need to follow ACC guidelines for self-reporting COVID symptoms and staying home. Staff members who test positive should take the sick time, even if asymptomatic, and are not allowed to work remotely at this time.
Please let us know at least two weeks in advance that you'd like time off. Trainers will not be able to take time off, unless in case of emergency, while cohorts are in session. Send an email to the Manager with the dates requested, adjusted schedule, and any information about substitutes or coaching switches requested. A request is not an approval, and may take 3 - 5 days to be processed.
Schedule changes will need to be requested and approved at least one week prior to the change, and Trainers are responsible for coordinating with the Manager and other members of the team to cover coaching or meeting obligations. Once approved, Trainers will need to adjust their schedule on the Trainer Schedule Calendar.
Days taken off without the required notice, and not in cases of emergency or illness, will be considered a failure to report and may result in termination.
HOW DO I...
Answer the phone?
Please answer with a standard greeting: Strategies for Today's Jobs, this is [YOUR NAME], how can I help you?
Make a phone call?
Use the handset phone on the desk in the Career Corner to make internal or external phone calls. To call another ACC location, dial the last 5 numbers of the person you're trying to reach. For example, if you want to call the Career & Transfer Center from an ACC phone, dial 30399. If you want to call a local number, dial 9, the area code and then the seven digit number. To call long-distance, dial 1-9, and then the area code and phone number of the person you're trying to reach.
Check Voicemail Messages?
Check voicemail by pressing the message button on any Cisco phone or dialing 512-223-1790 from an outside line. If dialing from an outside line or a different extension than your own, press Star (*) when the system answers, then enter your five-digit extension [37488] and press pound (#).
Remember: your ID = your five-digit Extension
Enter the PIN (610101#).
Please type up message details and respond accordingly:
Question about a class? Refer them to the Supervisory Trainer
Someone trying to connect with a coach? Connect them with the coach they are trying to reach by sending the coach an email with their phone number and other pertinent details.
Print something...
(Small - less than 20 pages) You'll need to be logged in to a desktop computer in the ACCelerator, using your ACCeID and password, to print anything. Printers send to the nearest printer, so take a look at where the nearest printer is located. Signs will highlight where they are. The computers will only print in black & white, and pages should be limited.
(Medium- more than 20 pages, less than 50 pages) Staff and faculty printers are located in various places throughout the buildings. The nearest one to our work location is in the ACC library, and staff can guide you to the correct location. You can also go to the staff break room in Building 2000, around the corner from the mailroom. To print, enter the code 456439 to access the printer options. Pro tip: Use a USB stick to print PDF documents in color.
(Large or Unusual - more than 50 pages) For copy jobs that are larger or more intricate (posters, in color or packets/booklets, etc) you can email a duplication request to HBC's Duplication Office at duplhbc@austincc.edu and they will have the job sent to my mailbox in HLC Building 2000's mailroom.
Reserve a teaching space or conference room...
Austin Community College (ACC) staff can reserve a room through the Ad Astra Room Scheduling system. Please make your request at least 24 hrs in advance. For classroom media technology support, please submit the Request Media Help online form. For questions or inquiries about specific rooms, please contact the Campus Manager from the corresponding campus.
Send and receive mail...
The mailroom is located in Building 2000 behind the Campus Manager's office. You can ask the folks at the Information Desk near the entrance if you have trouble locating it. You can have mail sent to you c/o (care of) Katie McClendon and it will be housed here. To send mail between campuses, use an interoffice envelope (it's yellow and lined, and there are a ton of empty ones in the mail room), include the name, office, and campus of the person you're sending it to and drop it in the interoffice mailbox. It will take 1-2 days to arrive.
