Each task created is visible on the dashboard when you login. Information is displayed in a 'card' format.
The card displays the following information about each task.
Date/Time of last tun
Subscription Plan
Frequency of Running (Daily, Weekly, Monthly)
Usage: How many responses have been made compared to the responses allowed per month.
Number of Emails received meeting the Subject Text matching
Number of Emails responded to.
On each card there are three action links:
Download: Download requests.
Logs: View detailed and summary logs for this task.
Settings: View response template and monitored subject texts for this task. Click here to learn more
Click this link to down load an excel file of all requests logged to date.
The Logs view performs two functions. It will show when the task last ran and how many emails were processed. The Logs view also displays the subject text of emails that were not processed and allows users to add them to the current task. To toggle between the two views click the link in the top right hand corner (either Summary Logs or Detailed Logs).
Each email processed will generate a series of rows in the Detailed Logs view. We hash the details in the log files so as not to keep a plain text record of any PII outside of your opt-out data base that we are compiling. The logs show when the task started (UTC time zone is used), how many emails were processed on this run of the task. For each email processed, the logs show success steps at each stage (read email, extract tag values, create reply, send reply).
Next to each line in the Detailed Logs view that begins Message read successful is an 'eye' icon. Clicking this icon will display the message. This feature will help ensure the structure of emails with new subject headings can be correctly harvested by the task. If the structure is very different, specifically if it does not contain content like this: Email: abc@test.com then it might not be processed by the task. Our support team is always available to help answer these technical questions.
Each email with a subject text that does not match the task criteria will be displayed in the summary view. If you want to process emails with this subject text then you can either add it to the existing task (clicking the text Add to this task will do this for you) or create a new task.
A suggested work flow is to inspect the email (see above section) and see if it contains an exact match of this task's tags (Name:, E-Mail address:, and Address:). If it contains one or more of these tags then you can add it to the current task, tags are case sensitive so make sure both spelling and the case match.
If it does not look like a standard email or contains different tags, then it might be worth while just responding to this manually. You will still be able to add these contacts the opt out database in your account. See List Management for more information.
