Section 1: Attendance Hour Acquisition
Members may accumulate attendance hours through active participation in any SABS events, including but not limited to general body meetings, seminars, social events, and volunteer opportunities. Students must obtain at least 5 hours per long semester, and a grand total of 20 hours minimum to be eligible for graduation cords. It is required that a minimum of 5 hours be obtained through in-person attendance at events for students enrolled in in-person programs. PhD students or students in programs longer than 1 year must earn their cords in the year before they graduate to show active participation. Previously accrued hours can be considered for further recognition as deemed fit by the SABS executive officers.
For students enrolled in online programs or those who choose to attend events virtually, they must submit a summary form for each event attended to indicate their virtual presence. Hours accrued over the summer semester can be added to the semester immediately before or after (e.g. hours from summer 2023 can be applied to Spring 2023 or Fall 2024).
Officers/representatives of SABS may also earn an additional graduation cord for fulfilling their duties as described in Article V/VI.
Section 2: Submission of Hours and Attendance
Members are responsible for recording and documenting their earned attendance hours through the designated service hours function within their user profile on Engage and by filling out any required forms (such as google forms) by the deadlines to receive their cords. It is mandatory for students to maintain a personal record of their approved hours. Additionally, for event attendance verification for virtual events, students are required to complete and submit the Attendance Record Form through Engage for each event attended.
Section 3: Graduation Cord Eligibility
To be eligible for graduation cord(s), students must be a part of SABS on Engage and complete the graduation cord request form, which will be distributed annually around March. The availability of graduation cord(s) is subject to the number of students and funding resources. In certain cases, a nominal fee, not exceeding $10, may be required for the acquisition of graduation cord(s).
To submit attendance hours, please log in to your Engage profile here.
You will use the Service Hours function in Engage to submit all of your attendance hours. Per Engage Support:
"Submitting service hours from your user profile
You ... have the option to submit service hours from your user profile, which may serve to be a better option if you are submitting service hours for multiple organizations in one sitting. To submit with this method, access your user drawer and select Service Hours. All of your pending, approved, and denied service hours will display.
Select the +Add Service Hours button at the top of the page, and select the organization from the drop-down menu you wish to associate service hours to. Complete the form with all the required information, and any optional fields you choose to add. Click Create to confirm your submission. These submissions will need to be approved by an organization officer or campus administrator."
You may only count approved hours toward your attendance hours total.
After logging in to Engage, go to the Student Association of Biomedical Sciences page and click on the Virtual Attendance Record form in the Forms section. A direct link is also available here.
If you attended any events in person, please also make sure you come see any of the officers taking attendance. This ensures an honest process where we can double-check with our own record that you only submit hours for events you attended/participated in. You will only earn attendance hours for the time that you were physically present at any SABS event.
You are only required to obtain hours for the two long semesters BEFORE graduation. For example, if you're graduating in Spring 2025, you must have a minimum of 5 hours per long semester and a grand total of 20 hours spread across both semesters to be eligible.
