Booking, Payment & Cancellation Terms

At Reins of Change, we keep our groups deliberately small so that children can enjoy a safe, supportive and personal experience.

Because places are limited, late cancellations and unused places can prevent another child from attending. These terms explain how bookings, payments, cancellations and regular weekly places work.

By making a booking with Reins of Change, you agree to the terms below.

Regular Weekly Sessions

Regular weekly sessions are normally booked in half-term blocks. The price, dates and number of sessions in each block will be confirmed before payment is requested.

New Children

A place offered to a new child is not secured until payment has been received.

Until payment is received, the place is not reserved and may be offered to another child.

Where a trial session is offered, the trial place is also not secured until the trial payment has been received.

Successfully completing a trial does not automatically guarantee an ongoing weekly place. This will depend on suitability and availability within the relevant group.

Existing Regular Children & Half-Term Renewal

Children who already hold a regular weekly place will normally be offered the opportunity to continue in the same session for the following half-term.

Before the next block begins, Reins of Change will send a renewal email confirming the child's session, the new block dates and the amount payable.

If your child will not be continuing for the next block, please tell us within 48 hours of the renewal email so that the place can be released to another child.

If we do not hear from you within that period, we will assume that you intend your child to continue and will reserve their regular place for the forthcoming block.

If your circumstances change after this point, please contact us as soon as possible. Any cancellation or payment due will be dealt with fairly, taking into account the circumstances, whether the place can reasonably be filled by another child and any loss incurred by Reins of Change.

Payment

Payment instructions and the amount due will be provided when a place or booking is offered.

For new weekly places, trials, holiday activities, camps and additional sessions, payment secures the booking. Until payment has been received, the place is not reserved and availability may change.

Please use the requested payment reference wherever possible so that payments can be matched correctly.

Missed Regular Sessions

Half-term blocks reserve a child's place within a small regular group.

If your child misses a session because of illness, holidays, school commitments or another personal reason, we cannot normally provide a refund or credit for that individual session.

Where possible, please let us know if your child will be absent.

Exceptional circumstances can always be discussed with us.

Holiday Activities, Camps & Additional Sessions

Holiday activities, camps and other additional sessions are booked separately from regular weekly sessions.

Submitting a booking request does not secure a place.

Where a place is available, Reins of Change will send confirmation and payment details. Your place is secured once payment has been received. Until payment is received, the place is not reserved and availability may change.

As places are limited, we recommend making payment promptly after receiving your booking confirmation.

Cancelling a Holiday or Additional Booking

If you need to cancel, please tell us as early as possible.

Where sufficient notice is given and the place can be filled by another child, we will normally try to offer a transfer, credit or refund where reasonable.

For later cancellations, the amount refundable will depend on the circumstances, including costs already incurred and whether we are reasonably able to fill the place.

We will not impose a cancellation charge that is disproportionate to the loss caused by the cancellation.

Nothing in these terms affects any cancellation or refund rights you may have under UK consumer law.

Cancellation by Reins of Change

Horse-related activities can occasionally be affected by circumstances outside our reasonable control, including severe weather, unsafe ground conditions, horse welfare issues or other situations where we believe it would not be safe or appropriate to run the session.

Safety and horse welfare will always come first.

If Reins of Change cancels a session, we will normally offer an appropriate alternative such as a replacement session, transfer or credit. Where an appropriate alternative cannot reasonably be provided, a refund for the cancelled service will be offered where applicable.

Changes to Sessions

Occasionally we may need to make reasonable changes to session content, timings, activities, ponies used or group arrangements for safety, welfare or operational reasons.

Where a significant change affects a booking, we will let families know as soon as reasonably possible.

Behaviour & Safety

Children must follow instructions given by Reins of Change staff and volunteers, particularly around horses and ponies.

We reserve the right to stop a child taking part in an activity where their behaviour creates a significant safety or welfare risk to themselves, another person or an animal.

Where there are additional needs, behavioural concerns or anything else that may affect a child's safety or participation, please tell us beforehand. This helps us put appropriate support in place and decide whether a group or individual arrangement would be most suitable.

Medical & Contact Information

Parents and guardians are responsible for ensuring that the information supplied to Reins of Change is accurate and kept up to date.

This includes medical information, allergies, medication, additional needs, emergency contact information and anything else relevant to the child's safe participation.

Please tell us promptly if anything changes.

Exceptional Circumstances

We understand that sometimes genuinely difficult or unexpected things happen.

Where exceptional circumstances affect a booking, please contact us. We will consider individual situations reasonably and fairly rather than applying these terms without regard to the circumstances.

Statutory Rights

These terms do not affect your statutory rights.

Reins of Change will provide its services with reasonable care and skill and will comply with applicable UK consumer law.
