VACATION POLICIES
STANDARD MGH HOLIDAYS (everyone gets these off. If the holiday falls on a Saturday/Sunday, then the day closest to that day (either Monday or Friday) will be a holiday. For example, if July 4 falls on a Sunday, then Monday July 5 will be a hospital holiday).

Martin Luther King Jr Day (third Monday in January)
President's day (third Monday in February)

NUMBER OF VACATION DAYS
You have a total of 20 vacation days, which can be taken up to 10 consecutive days off at a time (not including weekends).
Please submit vacation requests to Connie by April 15. If vacation requests are not submitted, then Connie will assign you 20 days at random.
You are free to change these up to 45 days (~6 weeks) prior to the approved vacation day (these requests and changes will be submitted through Qgenda). If it’s more than 45 days out, it’s no problem. If it’s less than that, we will work together to try to make it happen, if at all possible.
Conference - The Departmental policy is 15 days of vacation and 5 days of conference time, but we have lobbied for our fellowship to have this as all vacation time and for you to use at your discretion. Therefore, conference time falls under vacation time for our section.
As stated below, if you need more than 5 days for interviews, they will count as vacation days.

INTERVIEW DAYS
You have 5 days of banked Job Interview Days.
When you schedule interviews, please look at the schedule and try to pick a day where no more than 1 person is off the schedule. Please confirm with Connie that the date is ok before scheduling the interview.
If you are covering Waltham, please arrange a switch with your co-fellow to cover the site. Other rotations Connie will help you to arrange coverage.
These days can only be used for Interviews, not other job-related activities.
If you need more than 5 days to interview, you will need to use Vacation Days.
HOLIDAYS - For the week including the holiday (Thanksgiving Day, Christmas day, New Years’ day), > 1 fellow could potentially be off. This is the only time of year where this exception can be made. Unfortunately time off around holidays must be taken as vacation time (Focused Year Residents – see your section for an exception here).
·FOCUSED YEAR RESIDENT VACATION TIME
The structure of focused year vacation follows that of the fellows, except that you can get 2 days of holiday time off around either Christmas or New Years’. Please specify in your rank list which days you would like off.
For six month focused year residents, you may schedule up to 10 days of vacation within the 6 months. If you are with our section in December, you also can get 2 days of holiday time off around either Christmas or New Years’. Please specify in your rank list which days you would like off.
RESTRICTIONS
Call is Friday to Friday, so you cannot take vacation the Friday before your call.
Only 1 fellow can take vacation at a time, so talk to your co-fellows and PLAN AHEAD.
No fellow is allowed to take vacation the last week of June
Each fellow is only allowed to take a maximum of 5 days total in July, August, May, and June.
SWITCHING ASSIGNMENTS
The fellow rotations are weekly in general. Switches should be made through Qgenda and should be reciprocal if possible to make sure that the fellow experience is equivalent and fair. IF YOU SWITCH ASSIGNMENTS WITH ANOTHER FELLOW, Qgenda MUST REFLECT THE SWITCH. Use the Qgenda swap assignments function to complete the switch. If you are having trouble with it, email ask Michelle or Connie for help.
EMERGENCY ABSENCES
In case of unexpected urgent absence, such as due to illness or family or personal emergency, contact the program director (Connie) and direct supervising staff for the day of the absence. For Waltham, CT Procedure, and gadolinium coverage, also contact your co-fellows to try to find coverage. In special or sensitive circumstances, contact the program director immediately.
