If you have already applied to IRCC and have received a form called Medical Report client biodata, it will have a bar code and an IME# on it. Please check the papers/emails you have received from IRCC to see if there is a bar code and IME#. We need that number to look up your file in the system. Sponsored clients always have an IME#.
Refugees have a UCI#/client ID# on their refugee claimant form. We need to search for your file in the system using these numbers.
If there is no number (UPFRONT EXAM) we can create a file and give you a number.
ON THE DAY OF YOUR EXAMINATION
Please bring the following items to your medical examination appointment:
Identification - preferably Passport (but will also accept a certified copy of passport or Canadian driver's license for Canadian exams only). Refugee ID or acknowledgement of claim form is accepted for Refugees.
Glasses if you wear them. We check your vision and we need to record the best vision you have
Any Medication that is taken on a regular basis - we will need to know the name of the medication, the dose and frequency. It is best to write these down or bring them with you.
Any reports related to relevant past medical history in particular with a diagnosis of cancer or psychiatric illness.
Bring an interpreter if you do not understand or speak English. We will NOT use google translate or speak to an interpreter over the phone.
NOTE:
It is no longer necessary to bring photos as take your photo now and upload it to your file.
THE SAME ID SHOULD BE USED FOR ALL EXAMS/TESTS/APPOINTMENTS.
IRCC specifies what we can accept as an identity document. We prefer a valid passport or a certified copy of the passport. A driver's license is also acceptable. Refugee protection form is accepted for refugees. No other forms are acceptable.
For New Zealand exams only a passport is accepted as an ID
IRCC Client Immigration Medical Examination Consent
IRCC CLIENT DECLARATION FORM
We use the internet and electronically transfer the medical file to IRCC. The Australian and Canadian immigration officials have pooled their resources and are working together. The files are stored in huge databases in Australia.
Every medical exam requires signing a consent form which will outline and explain the process of storing medical examination information in the eMedical system. You will be asked to sign this form in person when you arrive. Minors will have to have a parent/guardian sign for them.
UPON LEAVING THE OFFICE
You will be given the following:
a receipt for payment (not refugees)
the x-ray requisition for everyone 11 years of age and older
the lab blood test requisitions for everyone15 years of age and older
an INFORMATION SHEET with picture, bar code and file number on it.
Keep this page safe! You may make copies of it. You may use this page as proof of the exam.
Please check all the data on the page and ensure all the information is correct before leaving the office. Also please ensure that you get your passport back.
Take the page with the bar code with you to the x-ray department and they will look up your file in the eMedical website using the number, however, get the page back before you leave. The radiologist will later upload the x-ray film and report it to your file. You can give a copy of the paper to your lawyer if you are using one. You can send a copy to your immigration office if they request verification of the exam.
TIME FRAME
We need to wait for the results of the blood tests and the x-ray report before we can grade the exam, complete it and submit it to IRCC. This will take approximately 1 week. Sometimes we can complete the file in 3 days however it generally is 1 week. It may take longer if we have to wait for additional lab tests or specialist reports.
We will NOT be emailing you with the date of submission of the file. To check your status please log onto the IRCC website at MYCIC. Create a record at that site and you can follow your immigration process. Alternatively, you can call 1-800-242-2100. In addition, there is also a website where you can complete a web form and submit questions found here: https://www.canada.ca/en/immigration-refugees-citizenship/corporate/contact-ircc/client-support-centre.html Note there is a time interval of approximately 4 weeks before you will see confirmation by IRCC on the website.
RESULTS
We will NOT be emailing you with results. If we uncover a medical issue during the exam we will inform you and recommend a follow-up. If there is an abnormal blood test we will inform you. If there is an abnormal chest x-ray you will be informed.
We grade and submit the medical information. The grades are either A (nothing wrong) or B (something wrong). The file is submitted electronically and reaches the head medical office in Ottawa where the doctors make the final decision of pass / fail. We cannot comment on pass / fail in advance. We are not informed of the results by the Ottawa head office. You have to find out the pass/fail result yourself via the MYCIC website.
FOLLOW UP
Further assessment and monitoring of any medical issues needs to be undertaken by your family physician. We will not be your family doctor. You will need to find a family doctor or use a walk-in clinic.
Should there be a problem with the medical exam, the doctors in Ottawa will contact you (using the email on the application form). This is called a “furtherance”. You will need to email us to schedule an appointment for a furtherance.
The medical exam that we perform is the same exam regardless of reason (visitor, student or permanent residence). It is valid for 12 months. If you apply to IRCC, for a change in status (e.g. for permanent residence) within the 12 months, you can use the INFORMATION SHEET we give you, with the bar code and file number, as proof of the exam.
