Board General Responsibilities - Providing a clear vision for the community. Protecting and preserving the association’s assets. Minimizing the financial risks to the association. Maintaining the community’s property values. Attend monthly board meetings.
President Responsibilities -
Responsible for guiding the Board Meetings.
Ensuring compliance with governing documents.
Oversees day-to-day operations and community issues.
Planning and conflict resolution.
Managing community projects and governance.
Vice President Responsibilities -
Serves as a backup to the president.
Protect the rights of the members and the assets of the association.
Business Manager Responsibilities -
Regularly picks up mail from HOA Post Office Box.
Records and maintains all homeowners’ addresses, phone numbers, and email addresses.
Mail delinquent letters or emails for late-due payments.
Contacts homeowners if they have a credit on their account.
Field all due payment inquiries.
Produce required forms for title companies.
Provides notice of Board and Member meetings.
Maintains all files for the HOA (proxies, complaints, insurance, and legal documents)
Maintain a record of all permits required by the City of Euless which includes expiration dates for pool license and Fire Marshall, and ensure permits are prominently displayed in designated area(s).
Acts as a backup for Property Manager.
Treasurer Responsibilities -
Maintains the check register.
Receives monthly payment of dues from DropBox.
Records and maintains monthly, quarterly, and annual due payments in the spreadsheet.
Records all information for year-end 1099’s.
Completes all IRS forms.
Pays all bills for the HOA (monthly, quarterly, and annual)
Records and maintains all receipts and deposits. Check and verify bank balance to ensure accuracy of accounts.
Maintains record of bank statements each month for each account.
Work closely with the Business Manager
Secretary Responsibilities
Maintaining the association’s board and community meeting minutes and official records.
Maintaining the community’s website and calendar.
Ensuring records are safely stored and accessible to residents.
Providing notice of meetings and distributing documents (official records, agendas, and meeting minutes) on a timely basis online.
Post signage for community HOA meetings.
Receives and responds to community emails or phone calls.
Bring topics to the board for discussion when asked or presented via email or phone call.
Receives and delegates realtor, homeowner, and city requests and communication.
Maintain and file all sign-in sheets from HOA Community Meetings.
