HCM Toastmasters meetings provide an opportunity for members to learn and practice communication and leadership skills by assuming a variety of roles. Each meeting role has a unique set of responsibilities and skills for you to explore.

Before the meeting:
Contact VPE to make sure you know about the agenda and key roles.
Join the meeting rehearsal.

During the meeting:
Conduct the meeting according to the agenda. Be mindful of the time for each session.
Before the meeting:
Join the rehearsal.

Take note of each speakers' use of language.
Give report about the good use of language and grammatical errors.
Before the meeting:

Take note of each speaker's unnecessary words and sounds.
Give a report about your observation.
Before the meeting:
Contact VPE to make sure you know about the agenda and timing for each part.

During the meeting:
Meet SAA to take the timing kit: 3 cards and 1 bell (only for offline meetings).
Follow closely the meeting agenda and announce the time to speakers using the timing kit.
Before the meeting:
Prepare a speech according to your Pathway Project (Click Here to learn more about Pathway).
Send Pathway evaluation form to your assigned Evaluator.
Inform VPE about your speech level and title.
During the meeting: Deliver the speech in front of the audience.
Before the meeting: Contact Prepared Speaker to receive their Evaluation Form (from Pathway). Ask for further speech objectives (if any).
During the meeting: Give feedback and recommendations to Prepared Speaker base on their Evaluation Form.
In certain meetings, evaluation can also be in Table Topics Session.
Before the meeting:
Prepare 5-8 questions related to the meeting theme.
Join the meeting rehearsal.
During the meeting: Randomly choose a member (or a guest) to answer your question.
During the meeting:
Quietly observe the flow of the meeting and performance of key role holders (except Prepared Speaker and Table Topics Speaker).
Give feedback about these roles and the whole meeting in general at the end of the meeting.
These role appear once in a while to juice up the meeting.
Step 1
Choose your preferred Roles:
On the meeting announcement post of VPE on HCM Facebook Group (on Saturday the week before the meeting), choose maximum 3 roles you would like to take in the upcoming meeting.
Leave a comment "Done" so VPE can mark the time you registered. Remember, 1st come 1st serve.
Step 3
Get confirmation from VPE:
Read the role confirmation post of VPE on HCM Facebook Group (on Monday the week of the meeting).
Confirm your role by commenting "Confirmed" under the post.
If you don't get a role, your slot will be prioritized in the next meeting. Or you can contact the President to take role in anther club.
Step 2
Prepare for your Role:
Read documents in MEETING ROLES.
Ask VPE or club members who previously took roles.
Join the meeting rehearsal:
Time: Thursday, 7:30 - 9:00 PM
Venue: Zoom/ Google Meet
For Prepared Speakers, send your Evaluation form to Evaluator (learn more in Pathways)
Apart from HCM Toastmasters' meetings, you can also visit other Division V Toastmasters Club as Guests or Role Holders (contact HCM's VPE if you would like to).
