Travel Information

Each GSoC 2023 organization is allowed to send up to one delegate to the Mentor Summit. Google will provide each organization 1200 USD in travel assistance for the Mentor Summit for their 1 (one) designated delegate. Attendees must book their own flights and transportation in advance and arrange for a visa/passport (if necessary).

Any additional mentors over the one designated delegate for each organization who want to attend the Mentor Summit can add themselves to the waitlist and see if a spot becomes available for them. Google will start contacting people on the waitlist in late July-early September if space is available. Waitlist folks will receive $600 (sent to the organization) for their travel.

Getting Reimbursed

Attendees should work with their respective Org Admin to get reimbursed for all flight and travel related costs. Google will not reimburse expenses for each individual.

Hotel Information

Once your organization has decided on the delegate it would like to send to the Mentor Summit, that individual can book their hotel room at the AC Hotel Sunnyvale or the TETRA Hotel, Autograph Collection, Sunnyvale as part of the Google Summer of Code room block using the link provided by GSoC Admins.

Google will cover one hotel room per person for two nights: October 13 and 14 (checking out the morning of October 15). You can book additional nights at your own expense. Should you choose to stay at a different hotel or additional nights, you will need to cover the cost yourself.  We have negotiated a room rate of $159 plus taxes at the AC Hotel Sunnyvale and $180 plus taxes at the TETRA Hotel, Autograph Collection, Sunnyvale for the “shoulder nights” of Thursday, October 12 and Sunday, October 15. 

Sharing the room with a spouse/partner

Some folks have asked if they can have a non-mentor, non-attendee join them at the Mentor Summit. The answer is sort of

You may bring along partners/family and they may stay in the hotel room with you, but they cannot participate in any of the actual Mentor Summit events or meals while you are here. We will not provide transportation, food, or facilities to them at any time.

Please also be aware that the costs of having additional guests in your room is at your own expense, not Google’s, and will need to be managed with the hotel directly. We want you to take part in the conference and not spend 3 days vacationing with your family.
