Gold Chest regular Membership event raffles and prize draws will be conducted using the following rules. Other prize draws and those involving non-members will have their own specific rules.
Entry/Raffle Tickets
A completed attendance card functions as a raffle ticket in the membership draw. The ticket is valid for one year of raffle draws. Once completed, a ticket should be presented to a committee member, who will check that the members name (and contact details if possible) are on the attendance card. The committee member then writes the date that the ticket was accepted on the card.
Prize Allocation
Before an event where a prize draw takes place, the club committee will announce how many prizes are available, and how many of those prizes can only be won by members who attend an event.
In the interests of fairness to the wider membership, the majority of prizes should be available to all members, and only a minority reserved for attendees to incentivise attendance.
Prize Draws
The committee member in charge of the draw (or any suitable nominated person) will draw a single ticket and check it has not expired. Then if the prize is for event attendees only checks to see if the member is present. If the ticket is not valid for either of the two reasons set out above, it is set aside, and another ticket is drawn. This process is repeated until a valid ticket is drawn, whereupon:
The winner is announced and the prize given (the physical giving of the prize is deferred until the member next attends if not present)
The winning ticket is destroyed
All expired tickets are destroyed
Any other tickets are returned to the draw pool
Maintenance
If the committee believe there is an abundance of expired tickets in the raffle ticket pool, they may periodically inspect the tickets and remove any expired tickets they find.
