Overview:
Memory Coordinators help capture the heart of Franklin Elementary by photographing key moments throughout the school year. This team-based volunteer role supports the PTO and Yearbook Committee by documenting school-wide events and classroom celebrations for use in the yearbook, social media, and school communications.
Key Responsibilities:
Attend and photograph major PTO-sponsored events such as Fall Fest, Ice Cream Social, Winter Holiday event, Fun Run, and enrichment programs.
Coordinate with room parents to ensure class photos are taken at seasonal classroom parties.
Upload photos to a shared Google Drive folder for access by the PTO Communications Team and Yearbook Coordinator.
Submit high-quality photos in a timely manner and help organize or label them when possible.
Work as a team to ensure broad coverage—no single person is expected to attend every event.
Ideal For:
Parents or guardians who want a flexible way to contribute throughout the year. Comfort with digital photo sharing is helpful.
Time Commitment:
Flexible and event-based. Volunteers can sign up to cover specific events in advance, and team members can coordinate to divide responsibilities.
A streamlined, parent-friendly structure to boost volunteer engagement and support every Franklin event.
(5 positions — one parent per grade, K–5)
These reps are the front-line connectors for their grade and the heart of our recruitment effort.
What they do:
Recruit & Welcome — personally invite parents in their grade to volunteer, especially new families.
Share Sign-Ups — circulate event links from the Scheduling Lead and answer “How can I help?” questions.
Coordinate with Room Parents — work closely with their grade’s room parents to fill classroom-specific needs.
Spot & Cultivate Talent — note parents’ skills (decorating, tech, coaching, etc.) and pass those names to other team leads.
Report Back — give quick participation updates at PTO meetings or in monthly emails.
2. Scheduling & Event Coordination Lead
(1 position)
Keeps every event fully staffed and volunteer roles crystal-clear.
Builds digital sign-ups (Evite).
Works with Event Chairs to define shifts and headcounts.
Assigns an on-site Volunteer Point Person for check-in / check-out at each event (often a rotating veteran volunteer).
Sends final rosters to event lead & PTO.

Turns sign-ins into insight.
Maintains the master Google Sheet of hours (imports Evite CSVs + check-in forms).
Publishes simple quarterly stats: % of families engaged (goal 40-45%), total hours, top contributors.
Flags gaps (e.g., grades with low turnout) for Grade-Level Reps to address.

Ensures every helper feels valued and heard.
Runs the incentive program (potential ideals: stickers at 5 hrs, raffle at 10 hrs, T-shirt at 20 hrs, etc.).
Sends thank-you emails/cards and share info for social-media shout-outs.
Distributes 3-minute Google Form surveys after events; shares key takeaways with the board.
Plans mid-year coffee & end-of-year recognition.

With this five-role team, we multiply our reach, avoid burnout, and make it easy—and rewarding—for every Franklin family to pitch in.
We are always looking for new volunteers. Your involvement can be as little or as big as you choose. We offer a variety of different fundraising opportunities and family events throughout the year. Our goal is to present the Franklin community with options to suit many different likes and needs.
