The sessions of FLUIDOS 2021 will take place virtually using the BigBlueButton videoconferencing system (BBB). These sessions will be accessed via links on our Moodle site, to which attendees must be registered. If you still did not register on our Moodle site, click on "Log in" (right upper corner), then click on the "Create new account" button and follow the procedure. For information about the registration payment, please see here.
BBB is similar in many respects to other videoconferencing platforms, such as Meet, Zoom, etc., but some of its particular characteristics made us choose it.
BBB allows live interaction with audiovisual content and text transmitted by all the users in the session with permissions to do so. Within the context of the conference sessions, the general public will be able to see and hear this content, as well as to text to the chairs of the session, but only some attendees will be able to use their microphone, webcam, and to share their screens.
In order for attendees in general to become familiar with the system, and to check its correct operation in their operating system and browser, a test session will be held in mid-September. The specific date will be announced shortly.
For presenters of regular talks and posters, a special, separate test session will be held, on a similar date.
For those who give invited talks, we will carry out tests to be held on custom-coordinated dates.
Invited talk sessions will develop as follows. The total duration will be one hour (strict). The moderators will introduce the talk coming next, that will take place live, during a suggested lapse time of 45 minutes. After the end of the lecture comes a Q&A interaction, with questions from the public having been collected through the chat system. The Q&A phase will develop over the remaining time after the talk, until completing an hour. If, due to lack of time, questions remain unanswered, they will be handed to the presenter, along with the contact information of those who raised the questions. Additional specific details will be given later.
The general development of sessions holding regular talks will be similar to that of the invited talks, although with some important differences, as described below.
Each one of the talks should develop over a total period of 20 minutes (strict). After the moderators introduce the talk coming next, a pre-recorded video (see here) with the presentation will be broadcast. That is, presenters will not give their talk live: a video will be broadcast. This decision was made because unforeseen events such as connectivity, hardware or software problems, among other possible ones, are not uncommon. Problems of this type lead to delays, in a context where timing is tight. Once the video of the talk has been played, and the questions having been collected through the chat system, they will be transmitted to the presenter, who will have access to the use of his/her microphone and camera (and eventually share his/her screen) in order to address the questions from the public. The Q&A phase will develop over the remaining time after the video-talk, until the 20-minutes time period available is complete.
Those questions not addressed due to lack of time will be handed to the presenter, along with the contact information of those who raised the questions. Additional specific details will be given later.
Authors must provide their poster in .pdf format, as well as an associated video (see here). The poster must be ISO-A4 size (or any other size with the same aspect ratio), with the layout (portrait or landscape) at the choice of the authors. The maximum size of the .pdf file is 10 MB, which should be sent to fluidos2021@gmail.com by October 20th, 2021. The poster and its associated video will be exhibited together, and will be available from the beginning of the conference, for the public to view at any time. A system will also be set up so that attendees can leave their questions / comments about each one of them.
The general development of the poster sessions will be somewhat different from that of the regular talk sessions. Presentation videos will not be played during these sessions. It is assumed that they have already been viewed. Poster sessions will be advocated to the exchange between the audience and the exhibitors. The dynamics will be similar to the case of regular talks. The moderators will transmit the collected questions, and presenters will be able to address these questions during a maximum time of 5 minutes (for each poster/presenter). Again, the specific details will be published later.
Regarding the videos of the pre-recorded talks / posters, they will be reproduced from a YouTube channel that will be created for this purpose. The authors should provide the organizers with these videos, which should have the following technical characteristics:
Resolution: 16:9 widescreen format from which you can choose 854x480, 1024x576, 1280x720 (preferred), 1600x900 or 1920x1080 pixels.
Refresh rate: it could be 24, 25, 30, 48, 50 or 60 fps (frames per second). If the talk consists of successive slides, showing static graphics, 24 fps is enough. If animations / videos are planned to be shown, a higher frequency may be needed.
File format: could be .MP4 (preferred), .MOV, .MPEG-1, .MPEG-2, .MPEG4, .MPG, .AVI, .WMV, .MPEGPS, .FLV, 3GPP, WebM, DNxHR, ProRes, CineForm, HEVC (h265).
Audio: at least 48 kHz or 96 kHz is recommended, with quality 128 kbps (mono audio) or 192 kbps (stereo audio).
For other recommended features, you can explore this page.
The duration of the videos should be:
13 minutes for regular talks, with a 45-seconds tolerance;
5 minutes for posters(*), with a 15-seconds tolerance.
Although the production and subsequent submission of the videos is the responsibility of the authors, we offer a list of possible software platforms (free, or at least with a functional free version) that could be used to produce the videos:
All of them implement the idea of "screen recording": these programs (or most of them) can record your screen, your system audio, your microphone and your webcam.
Due to the large size of the video files, the authors will have to send a link to it, from which the organizers can download it. The link must be sent to fluidos2021@gmail.com by October 20th, 2021.
(*) In these cases, the videos should not necessarily be "narrated" on the poster itself. Slides or any other audiovisual materials considered appropriate could be used.
