EVENT MANAGEMENT & SERVICES AGREEMENT

As per the Company Memorandum Subject; Services for Client, In “Para 2

(Customer SOP’s & Polices) with Event Management & Services (Clause-3)


1. SCOPE OF SERVICES

The Company agrees to provide event management & services, including but not limited to:

 

* Event concept development and theme planning (choose by client / client's own)

* Venue selection and coordination (if required)

* Decoration and setup arrangements

* Catering and menu serving's (if required)

* Entertainment and activities services (if required)

* Vendor sourcing and management (If Needed)

* On-site event supervision and execution

 

Details of services will be outlined in the *Event Proposal/Quotation Invoice*, which shall form part of this Agreement.

 

2. EVENT DETAILS

3. PAYMENT TERMS

* Total agreed amount will be received as 100% full payment upon signing

 

Note: Work will commence only after receipt of full payment.

 

4. CANCELLATION & REFUND POLICY If the Client cancels the event:

* Advance payment is “non-refundable”

* Additional costs already incurred will be charged

* If the Company cancels due to unavoidable circumstances: (Full refund of received payments will be made)

 

5. CLIENT RESPONSIBILITIES The Client agrees to:

* Provide accurate event requirements and timely approvals

* Ensure timely payments as per agreed schedule

* Obtain necessary permissions (if required) for venue or event

* Avoid interference with vendors coordinated by the Company

 

6. COMPANY RESPONSIBILITIES The Company agrees to:

* Deliver services professionally and on time

* Execute the event as per approved plan

* Inform Client of any changes or issues promptly

 

7. CHANGES & MODIFICATIONS

* Any changes requested by the Client must be submitted in writing

* Additional costs may apply depending on changes

* Last-minute changes are subject to feasibility

 

8. FORCE MAJEURE

Neither party shall be liable for failure to perform due to circumstances beyond control, including but not limited to:

 

* Natural disasters

* Government restrictions

* Strikes or emergencies

 

9. LIABILITY The Company is not responsible for:

* Loss, damage, or theft of personal belongings

* Third-party vendor failures beyond reasonable control from client side

* The Client agrees to indemnify the Company against any claims arising from event activities.

 

10. PHOTOGRAPHY & PROMOTION

The Company reserves the right to use event photos/videos for marketing purposes unless otherwise agreed in writing by the Client.

 

11. CONFIDENTIALITY

Both parties agree to keep all business and personal information confidential.

 

12. TERMINATION

Either party may terminate this Agreement with written notice. Applicable charges will be calculated based on work completed.

 

13. GOVERNING LAW

This Agreement shall be governed by the laws of Pakistan.

  

14. ENTIRE AGREEMENT

This Agreement constitutes the entire understanding between both parties and supersedes all prior discussions.

Section-02

1- Verbal, advance payment, or provisional bookings will not be considered confirmed.

2- Emergency bookings will be confirmed only, at least 3 days in advance.

3- The facility of checking the meal standard before booking; will be charged separately as the amount of per person. Payment will be made in advance.

4- Menu, guest count, and event details must be finalized before confirmation.

5- The company will not be responsible for any reduction in food due to excessive guest consumption.

6- Food service timing and event schedule must be followed by the client.

7- Outside food, beverages, or décor arrangements must be discussed in advance.

8-Customers must inform about allergies or special dietary requirements before the event.

9- All decor items will be charged at their original cost / purchase price.

10- Any damage or missing of décor, crockery-cutlery, or equipment will be charged to the customer.

11- All Waiters, Laborers & Driver will be charged their daily wages.

12- Each Vehicle will be charged for the total fare (petrol & equipment usage).

13- EPITT Caterers reserves the right to adjust pricing due to market changes or additional requirements.

14- After finalized the all Menu, Packages, Services; No big change will be accept at the event date.

15- Site / Event time are fixed upto 6 hours maximum; otherwise overtime will be charge.

16- The Customers has been fully informed about all the goods; (Items name, Quantity, Charges) in the receipt / invoice. Then any kind of complaints, grievances, abuse or rudeness will not be accepted.

17- By confirming a booking in written agreement / Invoice, the customer agrees & signed to all EPITT Caterers terms of service.
