Library Information File Requirement
All faculty and employees must complete the Library Information File in order to borrow books and other library resource materials. This ensures that your borrowing privileges are properly recorded.
Book Borrowing Limit and Duration
Full-time faculty members and employees of the Asian Institute of Maritime Studies are allowed to borrow up to five books at a time for a period of one week. Books may be renewed for an additional three consecutive days, provided no other user has reserved them.
Overdue Fines
An overdue fine of Php 15.00 per day will be charged for each unreturned book. It is important to return materials on time to avoid accumulating fines.
Personal Responsibility for Borrowing and Returning
Library materials should be borrowed and returned personally. Under no circumstances should you allow students to borrow or return books on your behalf. Faculty and staff are responsible for ensuring the proper handling of library materials.
Audio-Visual Materials
Audio-visual materials may be borrowed for a period of one day. Please ensure these materials are returned promptly to avoid late fees.
Return of Library Resources
Faculty and employees are required to return all library books and resources at least one week before the final examination of each term. This allows sufficient time for the library to process returns and prepare for the next term.
Library Clearance Process
The library clearance will only be signed once all borrowed materials have been returned, and any outstanding fines or penalties have been paid. It is important to settle any library fines before completing the clearance process.
Personal Responsibility for Borrowing and Returning
Students are not permitted to borrow library resources on behalf of faculty or staff, nor are they allowed to return library materials for others. Faculty and staff must personally borrow and return all library resources.
Paying Library Penalties
Any fines or penalties related to overdue library materials must be paid before the library clearance can be signed. Faculty and staff are encouraged to check their library accounts regularly to avoid late fees.
ID Requirement
Always bring your ID when processing clearances, as it is required to verify your identity and ensure the smooth completion of the clearance process.
Return of Books to the Correct Library
Books must be returned to the same satellite library from which they were borrowed. This ensures accurate tracking and proper management of library materials.
CLAMS Survey Completion
As part of the clearance process, faculty and staff are required to complete the CLAMS survey every term. This helps the library gather valuable feedback to improve services and resources.
Scheduling Library Research Activities
When a class is assigned to the library for research, the faculty-in-charge must provide the library with a copy of the approved activity from the department head. This ensures that the library is prepared for the session and can offer appropriate resources.
Faculty Presence During Library Research Activities
The faculty member who schedules the activity with the CLAMS Dean must be present with their class during the research session in the library. This ensures that proper guidance and support are provided to the students throughout the research process.
Library’s Role in Supporting Curriculum and Learning
The Library is committed to providing materials that support and enrich the curriculum, aid students in their pursuit of knowledge, and contribute to the development of wisdom and values. The Library, in collaboration with faculty, administrators, and students, plays a critical role in the ongoing development of its collection.
Process for Recommending New Resources
Faculty members wishing to recommend new resources for acquisition must fill out the appropriate forms:
Instructional Materials Evaluation Sheet (CLAMS-2C Form) for books that are being evaluated for inclusion in the library collection.
Recommendation for Acquisition of Learning Resource Materials (CLAMS-9F Form) for learning materials that the faculty has used in their class but which are not currently available in the library.
These forms help ensure that resource acquisitions are aligned with curriculum needs and academic goals.
Updating Library Materials Course Mapping
The Library also requires that course program chairs regularly update the Library Materials Course Mapping (LMCM) to ensure the library's collection aligns with the most current list of textbooks and reference materials used in courses.
