What events need to go through this process?

If you are planning an event on behalf of CVR, it needs to go through this process.

  • Booths at festivals
  • Public educational events/speakers
  • ​Voter registration drives​Meet the candidates

Process for Planning an Event

Have a great idea and think it through - A minimum of two weeks in advance.

  • What event would you like CVR to host/participate in?​
  • When? What time? Where?
  • Does this project fit CVR's mission?
  • How many people do you believe you will need to run/organize the event? Are there other committees in CVR that should know about the event or help plan it?
  • How many people do you hope to reach/have attend?
  • Will you need a way for people to register in advance?
  • Who is your target audience?/How do you think you want to advertise?
  • What is the cost involved?
  • Does the event require use of our insurance?

Submit an event request form.

This form will go to our Event Logistics team who will review your proposal, check for calendar conflicts, and run it by the steering committee for approval. Approved proposals will then be sent back with information about how to proceed and provide PERT Chart when appropriate.

When appropriate, submit advertisements, press releases, flyers, etc. to the Marketing team for approval and distribution.

All official CVR events must state that they are sponsored by Cumberland Valley Rising and have our official logo on them. If you do not have the logo, the Marketing Team will add it for you before distributing.

Rallies and Travel

CVR does not plan, organize, host, or fun rallies or demonstrations.

​CVR does encourage members to attend rallies and/or demonstrations that align with CVR's goals and values, and/or that are held by sister organizations.

​CVR members are of course encouraged to attend rallied wherever they wish. That said, CVR will generally support its membership in attending events as locally as possible, often in Harrisburg, Lancaster, or Carlisle. Although events may be centered in large cities (e.g. Washington DC, Philadelphia, or New York,) we believe that attending local rallies will accomplish the following:

  1. Demonstrate that central PA is home to a large population that cares about these issues. These issues are not only relevant to those in "big cities."
  2. Encourage coverage by local media

​Carpools

CVR encouraged members to work with each other to arrange carpools, as a convenience. Carpools are never required and CVR as an organization does not determine or arrange carpool participants. CVR members who arrange to carpool should be careful that they are acquainted with and feel comfortable traveling with their passengers/drivers.

​Charter Vans or Buses

Charter vans or buses are expensive and should be used rarely, if at all, and only for major events at least two hours away from Carlisle. No CVR member should independently charter a bus in the hopes of being reimbursed. Chartering a bus requires a minimum lead time of one month. The process for chartering a bus is the same as for any other event.

  1. In the event that the decision is made by the Steering Committee to charter a bus or van, CVR funds should be used to charter the vehicle.
  2. Every attempts should be made to sell all seats and recoup all monies expended.
  3. Seats should be largerly or fully reserved before the bus is chartered.
  4. Discounts or full scholarships are to be handled by the Steering Committee on a case-by-case basis.
